JANUARY 2, 2000 FEDERATION MEETING MINUTES

Chairman’s Notes:

This month will mark the end of my three-year term on the Executive Committee.  It has been a challenging but rewarding experience.  Fortunately we have had some successes to make it all worth while.  But, much remains to be done before we can expect square dancing to survive in Hawaii on its own. 

I want thank those of you who have volunteered your time and expertise to make the many positive contributions to our art.  Without your selfless dedication we wouldn’t have enjoyed the many dances of this past year.  Thanks for standing up and raising your hand when we needed help. 

I look forward to passing the reins to another dedicated member who can devote some time and energy to improving the square dancing experience in Hawaii.  I hope you, as a leader or manager of our clubs, will take the time to find and nominate the quality people we need to continue to lead the Federation into the next millennium.  It is not hard work but it does require dedication and self-discipline as the rewards are few and far between.

The January ‘00 Federation Meeting was convened at 3:00 p.m. on January 2, 2000, at the Kahala Recreation Center.

1.     Attendance:  Federation Chairman, Vice Chairman, and Secretary.  The following clubs were represented: Hayseeds, Pali Twirlers, and Tsunamis.

2.     Minutes:  The Minutes of the December 1999 Meeting were reviewed.  No corrections were noted and the minutes were accepted as presented.

3.     Treasurer’s Report: The Treasurer’s report as of 1/2/00 was distributed for review.  The balance was $16,166.63 in checking and $1,827.84 in savings for a total of $17,994.47.  The Treasurer’s Report was accepted as submitted.  Festival income is being held in escrow for club activities.  The Register Report reflecting all funds deposited and paid out is available upon request.

4.     Committee Reports: Committee chairpersons presented a brief outline of their progress since the last meeting:

        a.  Advertising and recruiting: Nothing new to report.

        b.  Social Calendar: Nothing new to report. The Social Calendar format is being changed so as to consolidate information and to allow for e-mail transmittal.  Please send updates or corrections to Henry Staehle at henrys@inix.com , or telephone 672-3646.

        c.   HI-2K Festival: 273 paid registrations have been received, including 28 non-dancers.    

                (1) Housing Committee: Nothing new to report.  Housing application forms are available from Doug Warne, Festival Housing Committee Chairman (e-mail: dwarne4@hotmail.com , or telephone (808) 261-8222).

                (2) Hall Decorations: Tim Voss will furnish greenery for hall decorations.  The East hall (with stage) will be available for decorating at 12:00 Noon, and the West hall will be available at 2:00 p.m., on Thursday, January 27.  Please mark your calendars to participate if at all possible.

                (3) Registration:  273 paid registrations have been received to date.  A December 14 count shows registrations for the current festival significantly ahead of years 1998 and 1997 as of the same date.

                (4) Packet Committee/Ribbons and Badges: Stuffing of the packets will take place on Sunday, January 16, at a 12:00 Noon potluck get-together at the Schneidermans’ home in Kailua.  Norman will be contacted regarding the status of the date bars.  A “Festival Chairman” and 10 “Committee” bars are needed.

                (5) Hall Maintenance (setup/cleanup): Nothing new to report.  Clean-up nights will be assigned to clubs on Oahu and neighbor islands. 

                (6) Transportation:  Planning three fixed bus stop sites and a specific schedule for the vans to eliminate confusion.  A ticket package is under development for advanced sales. 

                (7) Hospitality:  Kim Akagi has accepted the chairmanship of the caller/cuer hospitality committee.

                (8) Advertising/Media: A press release similar to last year’s will issued to the TV, Radio Stations, and newspapers.

                (9) Program:  David indicated that he and Kim had covered the west end of Waikiki soliciting program advertisements from local merchants to help defray publication costs.  Discounts for Festival visitors who present their ribbons or placing a coupon within the ad were suggested.  No response has yet been received.  Publication date is January 12.

                (9) Activities:  (a) Diamond Heads ‘N Sides Dance: 71 reservations received;  (b) Square Wheelers/Hayseeds Polynesian Adventure: 107 reservations  (Kama’aina rates - $36.00); (c) Pali Twirlers’ Luau on the Bay: 90 reservations; (d) Tsunamis after-party Cruise: 44 reservations (Kama’aina rates - $28).

                (10) Hula/Contra Workshop: Yona Chock has agreed to conduct a hula workshop just prior to a planned afternoon contra workshop

5.    Correspondence:  Letter received from J. D. Jenkins Insurance Co. for renewal of insurance due 1/14/00.  Price of $807.50 for $1M liability coverage is the same as last year, and is approximately $3 per person.

6.     Old Business:

        a.   Revised Bylaws: The smooth Federation By-laws are complete and will be forwarded to club presidents this week with a ballot for club approval.  Results of the legal review, which included some disclaimers and clarification of some issues, have been incorporated into the final copy.   Acceptance of the by-laws is desired prior to the January 29th Federation Meeting.

        b.   State Square Dance Costume: State Square Dance Costume material is still available from Kim Akagi (943-0120) at $3 a yard.  All local dancers are encouraged to wear the local colors for the Grand March at the Hawaii State Festival on Saturday night.

        c.    Address Book: The address book has been completed and contains the names, addresses, and club affiliations of 235 dancers in 14 clubs.  Distribution will be made at the festival.

        d.    All Oahu Dance: All Oahu Dances will continue to be held on the second Sunday of each month.  Dates are available for club sponsorship of special dances.  Proceeds from the dance go to the sponsoring club.

7.     New Business              

        a.  Election of Officers: Election of Federation Executive Officers will be held at the General Membership Meeting during the Festival on Saturday, January 29.  Nominations are requested for qualified and interested dancers to manage Federation activities.

        b.  36th Festival Flyer: Draft of a proposed 36th Festival Flyer for the year 2001 was distributed for information.

8.     Club Reports/Events: Future events are listed on the Web Page, recorded on the Hot Line, printed in the Current Events Flyer, and shown on the Social Calendar (remember, written notes are requested to ensure accuracy).

        a.  All-Oahu Dance: Sunday, January 9, at the Palladium – Pre Rounds at 6:30 p.m., dance at 7:30 p.m. 

        b.  Spares and Pairs: New Dancers’ Class meets at Halsey Terrace Community Center Fridays from 7-9:30 p.m.

        c.   Perth, West Australia International Square Dance Festival, September 2000: Contact Dave Lemon at 456-8456.

        d.   St. Patrick’s Day Festival, Hilo, March 17-19: Ken Jordan caller and Freddie Loveless, cuer.

        e.   Maui No Ka Oi Festival, Kahului, April 27-30: Elmer Claycomb and Bill Peters, callers, Freddie Loveless, cuer.

        f.   Cultural Dance Exchange and Tour of China, September 2000: Join Hawaii Dancers for a cultural exchange with Chinese dancers in Beijing and Lhasa (Tibet).  There is a choice of two tours available: 10 days for $2500 and 21 days for $4500.  Contact Ann Todd at 239-6325.

9.   Adjournment:  The meeting was adjourned at 3:40 p.m. The next meeting of the Federation will be held on Saturday, January 29, at 5:30 P.M. at the Ala Wai Palladium.
