MARCH 5, 2000 FEDERATION MEETING MINUTES

Chairman’s Message

New Federation officers have been elected to serve during 2000. They are as follows; Henry Staehle, Chairman; Douglas Warne, Vice Chairman; Janet Granich, Secretary (re-elected); and Tat Tatsuguchi, Treasurer (elected at the March 5th meeting).  We wish to thank the former officers for their hard work and acknowledge the tremendous job that David Lemon has done for the Federation in bringing it into the computer age, balancing the books, and setting up procedures for the future.  He will be a hard act to follow!  We have a very competent group of new officers and look forward to continuing in the path that David has set.  We welcome your comments and suggestions either directly by  e-mail to any of the officers or by attendance at Federation meetings, held on the fourth Sunday of each month at 3:00 p.m., at the Kahala Recreation Center.  We urge your support of  Federation activities and attendance at the All Oahu dances held on the second Sunday of each month.  These dances are available for sponsorship (fund raising) by individual clubs.   Please check the Federation Web Page and Hotline for up-to-date information.

The March 5, 2000, Federation Meeting was convened at 2:30 p.m. at the Kahala Recreation Center.

1.     Attendance:  Henry Staehle, Chairman, Douglas Warne, Vice Chairman, and Janet Granich, Secretary.  The following clubs were represented: Diamond Heads ‘n Sides, Hayseeds, Square Wheelers, Pali Twirlers, and Tsunamis.

2.     Minutes:  The Minutes of the Annual Meeting, held on January 29, 2000, were reviewed.  No corrections were noted and the minutes were accepted as presented.

3.     Treasurer’s Report: The Treasurer’s report as of 3/5/00 was distributed for review.  The balance was $2,908.40 in checking and $1,837.08 in savings for a total of $4,745.48.  The Treasurer’s Report was accepted as submitted.  The Federation Check Register Report reflecting all funds deposited and paid out from 2/1/99 through 3/5/00 was distributed to those present and is available upon request.

4.    Committee Reports: Club representatives were requested to poll their members for those willing to chair Federation committees.

        a.  Advertising:  Chairman needed.

        b.  Social Calendar: Henry said that he would again chair this committee since he has been tracking events for the last two years and has the setup in his computer.  Please send updates or corrections to Henry Staehle at henrys@inix.com , or telephone 672-3646.

        c.  Hawaii Festival:  Chairman needed.  

                (1) H2K Festival: A final 2000 Festival Report with recommendations for the future was distributed to those present.   David reported that funds collected and held in escrow by the Federation for club activities have been returned to the clubs.  In turn, those clubs have rebated 30% of their net profit, as previously agreed.  A spreadsheet chronicling Festival inflows and outflows is available upon request for those interested.  David noted that this year there were more $30 late registrants and $10 one-night-only attendees. 

                (2) Festival 2001: A Chairman is needed to head the 2001 Festival.  A contract has been agreed upon and sent for signature to Lou Mac Records who will furnish three callers and two cuers for the 2001Festival.

        d.  Recruiting: Chairman needed.

5.    Correspondence:  Letter from Gill Gilbert resigning his position as Treasurer due to heavy involvement in other activities and for health reasons. 

6.     Old Business:

        a.  Promotion of Royal Aloha Medallion: A sample Royal Aloha Medallion passed among the club representatives received favorable comment.  Henry announced that we have 100 on hand.  Requirements for qualification are attendance at two Festivals in a three-year period and attendance at two dances on the Big Island and one special dance on Maui during the same three-year period.  Qualification may be self-certified.  The cost of the medallion is $4 apiece, which is divided equally between the Federation and the recipient.  Application forms are being revised and will be available at the next meeting.    

        b.  Tax Exempt Status: David said that he would continue to pursue the Federation’s tax-exempt status and report back at the next meeting.

7.    New Business:

a.        Approval of new Treasurer: Henry announced that Tat Tatsuguchi has agreed to serve as Federation Treasurer but is unavailable on the 1st Sunday of the month.  After discussion, it was moved, seconded, and unanimously carried to hold future Federation meetings on the 4th Sunday of each month, at 3:00 p.m., at the Kahala Recreation Center.  It was further moved, seconded, and unanimously carried to approve the appointment of  Isamu “Tat” Tatsuguchi as Federation Treasurer to serve a term of two years.

b.        Federation Dues: Henry asked representatives to remind their clubs that annual Federation dues of $50 are now due. 

8.     Club Reports/Events: Future events are listed on the Web Page, recorded on the Hot Line, printed in the Current Events Flyer, and shown on the Social Calendar (remember, written notes are requested to ensure accuracy).

        a.  All-Oahu Dance: Sunday, March 12, at the Palladium, Andy Scott, caller, Dan Drumheller, cuer.  Pre- Rounds start at 6:30 p.m. and dance at 7:30 p.m.  (Note: Clubs interested in sponsoring an All-Oahu dance should contact a Federation officer.  All proceeds from the dance go to the sponsoring club.) 

        b.  St. Patrick’s Day Festival, Hilo, March 17-19: Ken Jordan caller and Freddie Loveless, cuer.

        c.  Diamond Heads ‘n Sides Spring Fling: Friday, March 31, 7:00 p.m.  Ken Jordan, caller.   Pre-rounds start at 7:00 p.m. and dance at 7:30 p.m.

        d.  Maui No Ka Oi Festival, Kahului, April 27-30: Elmer Claycomb and Bill Peters, callers and Freddie Loveless, cuer.

9.   Adjournment:  The meeting was adjourned at 3:07 p.m.

Next Meeting: The next meeting of the Federation will be held on Sunday, March 26, at 3:00 p.m., at the Kahala Recreation Center.
