MAY 28 ‘00 FEDERATION MEETING MINUTES

The meeting of May 28, 2000 was convened at 3:00 p.m. at the Kahala Recreation Center.

1.    Attendance:  Federation Chairman, Vice Chairman, and Secretary.  The following clubs were represented: Pali Twirlers, Square Wheelers, Hayseeds and Tsunamis. 

2.     Minutes:  The Minutes of the April 30th Meeting were reviewed.  No corrections were noted and the minutes were accepted as presented.

3.   Treasurer’s Report:  In the absence of Tat Tatsuguchi, the Treasurer ‘s report was presented by Chairman Henry Staehle. He reported a balance in checking of  $3,013.40 and a balance in savings of $1,846.23 for a total of $4,859.63.  The Treasurer’s Report was accepted as submitted. 

4.   Club Representatives: Clubs are requested to submit up-to-date rosters for the year 2000 and revalidate or submit the names of their Federation Representatives and Alternatives to the Board of Directors.  Notification of any changes during the year is also requested.

5.     Committee Reports:

        a.  Advertising: Chairman needed.

        b.  Social Calendar: Henry reported that a new Social Calendar would be issued in July.  He requested that additions and changes be forwarded to him at henrys@inix.com , or telephone 672-3646.

        c.  Recruiting: Chairman needed.

        d.  Festival 2001: Tim Voss presented a brief outline of progress on the 2001 Festival since the last meeting:

                (1) Registration:  Clubs have confirmed their special events, and Festival fliers have been printed.  2500 registration forms are being printed, and four registrations have been received to date.

                (2) Transportation:  VIP Transportation will charge $4 per person round trip to the Palladium.  We will sell these tickets for $5 to cover the cost of ribbons which will identify those riding buses.

        e.   Festival 2002: Contracts have been signed with Doug Davis, Ed Kremers and Bob VanWest to call for the Festival 2002.

6.    Correspondence:  (a) Letter received from the Contra Club requesting clarification of our insurance policy.  The Contras with a membership of around 100 are considering joining the Federation for insurance purposes.

7.    Old Business:

        a.  Tax Exempt Status: Nothing new to report.

        b.  Insurance Policy: Doug Warne reported that he had reviewed our insurance policy and everything looks good.  Club members are insured up to $2000 medical and $1-million liability for any Federation event; however,  members cannot sue the Federation or each other.  The total insurance policy cost is $841, paid by the Federation.  Since the cost break point is 1000 members, adding the Contras to the policy should not be a problem. Doug offered to contact our insurance representative Irene Ferriera on Maui with the questions posed by the Contras.

        c.  All-Oahu Dance: The May All-Oahu Dance conflicted with Mother’s Day and was not well attended.  After conferring with members of the Board who were present at the dance, it was agreed to divide the $125 collected at the door between the caller and cuer after deducting expenses.  Since Mother’s Day always falls on the second Sunday consideration will be given next year to either canceling the May dance or moving it to another Sunday.  Permits requests have been submitted to the City and County for All-Oahu dances through December 2000.

        d.  Royal Aloha Medallion: Six people so far have applied for the Royal Aloha Medallion, and Bill Yoeman on the Big Island reports that he has six additional applications to submit.

e.        Festival 2001:

       (1) Proposed name change: The question discussed at the last meeting of whether the festival name should be changed back to Convention was considered again.  This matter was not discussed over the interim by any club other than the Pali Twirlers, which voted to retain the name “Festival” for at least another year.  In the absence of other recommendations, the name will continue to be Festival 2001. 

       (2) Rebate contract between the  Federation and Clubs: Henry reported that all clubs have agreed to sign the contract to rebate 30% of their net profits from special events to the Federation to fund the Festival.  This agreement will be reviewed annually.

8.    New Business:

        a.    Proposal: David Lemon presented the following motion to the Hawaii Federation of Square Dance Clubs:

In recognition of the many hours of service and their personal contributions to the day-to-day operation of the Federation, it is moved that the Federation waive the annual Festival registration fees for the Executive Board of Directors and Festival Chairman. 

After discussion, it was agreed that this motion be voted upon at the next regular meeting to permit adequate time for all clubs to express their opinions through their representatives or in writing. Were this proposal to be approved, the total expenditure by the Federation would amount to $125.

        b.  Federation Picnic: Reservations need to be made for the August Federation picnic normally held at Bellows Field.  Since active military are given date preference, it was suggested that Dan Drumheller be asked to request the date of August 20 for the picnic.  Kim Akagi suggested that a different locale be checked out closer to Waikiki, such as the Hale Koa, for those who have transportation problems.  She agreed to look into the matter to see if such a place is available with a pavilion with electricity, picnic tables, parking, and a beach.  

        c.  Next meeting: Henry reported that three Federation officers and two representatives will be attending the National Convention in Baltimore on the fourth Sunday of June, the normal Federation meeting date.  After discussion, it was agreed to cancel the June 25th meeting.  The next Federation meeting will be held on July 23rd .

9.     Club Reports/Events: Note: Future events are listed on the Web Page, recorded on the Hot Line, printed in the Current Events Flyer, and shown on the Social Calendar (remember, written notes are requested to ensure accuracy).

        a.  All-Oahu Dance: Sunday, June 11, at the Palladium – Pre Rounds at 6:30 p.m. dance at 7:30 p.m., Andy Scott, caller, Dan Drumheller, Cuer, Federation sponsor.   

        b.  Square Wheelers and Hayseeds: Dancing Monday night, May 29, at 7:15 p.m. at the Makiki District Park.  Beginning June 5th , dance will be at McCoy Pavillion, Ala Moana Park, 7 – 9:00 p.m., but dark on June 12.  The Bandstand will not be available until some time in October.

        c.  4TH of July Parade: Sponsor, Pali Twirlers.  Potluck lunch following the parade at Andy and Rene Scott’s townhouse Recreation Center (maps available).

        d.  All-Oahu Dance/Ken Jordan Farewell Party: Sunday, July 9th , at the Palladium.  The Federation will sponsor a farewell party and potluck for Ken Jordan, who will be returning to the mainland in July.  Pre Rounds at 6:30 p.m. dance at 7:30 p.m.  Ken will call for his final All-Oahu dance.

        e.  Square Wheelers Anniversary Dance/All-Oahu Dance, August 13th , at the Palladium.  Bill Peters guest caller.

        f.  49th National Square Dance Convention, Baltimore, MD: June 22 – 24.   Kim and David will be attending the Convention and will set up the Hawaii Display Table.

        g.  USA West Square Dance Convention, Casper, WY: August 9-12.  Tim Voss will be attending.

        h.  Cultural Dance Exchange and Tour of China, September 2000: Join Hawaii Dancers for a cultural exchange with Chinese dancers in Beijing and Lhasa (Tibet).  There is a choice of two tours available: 10 days for $2500 and 21 days for $4500.  Contact Ann Todd at 239-6325.

        i.  Square Wheelers’ Toys for Tots Dance:  December 10th in conjunction with the All-Oahu dance.

9.   Adjournment:  The meeting was adjourned at 3:50 p.m. The next meeting of the Federation will be held on Sunday, July 23, at 3:00 p.m. at the Kahala Recreation Hall.
