JULY 23 ’00 FEDERATION MEETING MINUTES

The meeting of July 23, 2000 was convened at 3:00 p.m. at the Kahala Recreation Center.

1.    Attendance:  Federation Chairman, Vice Chairman, Treasurer, and Secretary.  The following clubs were represented: Diamond Heads ‘n Sides, Pali Twirlers, Square Wheelers, Hayseeds and Tsunamis. 

2.   Minutes:  The Minutes of the May 28th Meeting were reviewed. The minutes were accepted with the following corrections: (a)  In paragraph 4.e.“Festival 2002” delete reference to Doug Davis and Bob Van West, changing the sentence to read “A contract has been signed with Ed Kremers to call for the Festival 2002.”  (b) In the second sentence of Paragraph 7b.“Insurance Policy” delete the words “$2000 medical and”, changing the sentence to read “Club members are insured up to $1-million liability for any Federation event; however, members cannot sue the Federation or each other.” 

3.   Treasurer’s Report: Treasurer Tat Tatsuguchi reported a balance in checking of  $1,510.42 and a balance in savings of  $1,846.23, for a total of $3,356.65.  The Treasurer’s Report was accepted as submitted.  (Note:  The June savings account statement has not yet been received.) 

4.     Committee Reports:

        a.  Advertising and Recruiting: Chairmen needed.

        b.  Social Calendar: Henry reported that preparation of a new Social Calendar is temporarily suspended

pending reorganization of the Diamond Heads ‘n Sides following transfer of their caller to the mainland.

        c.  Festival 2001: Tim Voss reported that registration so far has been slow with six registrations received to date.  Two reservations have been received for the Luau by the Bay and two for the cruise.  Clubs have received registration forms and members are urged to register for the Festival to help with its funding.  Confirmation letters will be sent out beginning in August.   

5.    Correspondence:  (a) Letter re 2001 National Convention fashion show asking for participants.

6.    Old Business:

        a.  Tax Exempt Status: Nothing new to report.

        b.  Insurance Policy: Doug Warne noted that contrary to information contained in the May minutes, the Federation insurance policy does not cover club members for medical insurance or accidents; guests only are covered  The minutes have been appropriately corrected.

        c.  Royal Aloha Medallion: Eighteen people so far have applied for the Royal Aloha Medallion.

        d.  Festival 2001: Rebate contract: All clubs have now signed the contract to rebate 30% of their net profits from special events to help fund the Festival.  This agreement will be reviewed annually.

        e.  National Square Dance Directory: Clubs need to submit any changes they wish to make in the National Square Dance Directory before August 15.

        f.    Proposal: Henry announced that a motion made by David Lemon at the last meeting and tabled pending club discussion now requires a vote.  David reported that the Hayseeds and the Square Wheelers support his motion to waive the annual Festival registration fees for the Executive Board of Directors and Festival Chairman. Doug Warne reported that the Pali Twirlers also support the proposal.  After discussion it was agreed, with two abstentions, to adopt the following proposal:

In recognition of the many hours of service and their personal contributions to the day-to-day operation of the Federation, it is moved that the Federation waive the annual Festival registration fees for the Executive Board of Directors and Festival Chairman. 

        g.  Federation Picnic: Kim Akagi reported that she had been unable to locate an alternate location for the Federation picnic closer to Waikiki.   Henry reported that he and Janet had checked out Waimanalo Beach Park and found that they have a covered pavilion, available electricity, tables and chairs, and an excellent beach.  The date of August 20 is available and has been tentatively reserved for the picnic from 12:00 Noon until 4:30 p.m.  A map will be distributed for those who don’t know the location of the beach park.    

8.     Club Reports/Events: Note: Future events are listed on the Web Page, recorded on the Hot Line, printed in the Current Events Flyer, and shown on the Social Calendar (remember, written notes are requested to ensure accuracy).

        a.  Diamond Heads ‘n Sides special dance with mainland guest caller: Friday, August 4th at the Kahala Recreation Center.  Pre-Rounds at 7:00, dance at 7:30 p.m., Dan Drumheller, Cuer.   

        b.  Square Wheelers Anniversary Dance: Sunday, August 13th, at the Palladium with Bill Peters guest caller.  Pre-rounds at 6:30 dance at 7:30 p.m.  Dan Drumheller, Cuer.

        c.  USA West Square DanceConvention, Casper, WY: August 9-12.  Tim Voss will be attending.

        d.  Cultural Dance Exchange and Tour of China, September 2000: Join Hawaii Dancers for a cultural exchange with Chinese dancers in Beijing and Lhasa (Tibet). Contact Ann Todd at 239-6325.

        e.  Round Dance Christmas party: Sunday, December 10, at the Ala Wai Palladium, 7:00 – 9:15 p.m.

        f.  Square Wheelers’ Toys for Tots Dance:  Sunday, December 17th , at the Ala Wai Palladium.

9.   Adjournment:  The meeting was adjourned at 3:45 p.m. The next meeting of the Federation will be held on Sunday, August 27, at 3:00 p.m. at the Kahala Recreation Hall.
