AUGUST 27 '00 FEDERATION MEETING MINUTES

The August 27, 2000, Federation Meeting was convened at 3:05 p.m. at the Coast Guard Recreation Center at Red Hill.

1.     Attendance:  Henry Staehle, Chairman; Douglas Warne, Vice Chairman; Tat Tatsuguchi, Treasurer; and Janet Granich, Secretary.  The following clubs were represented: Hayseeds, Square Wheelers, Pali Twirlers, and Tsunamis.  Guests:  Barbara Tatsuguchi, Melissa Tjoe

2.     Minutes:  The Minutes of the July 23, 2000, meeting were reviewed.  No corrections were noted and the minutes were accepted as presented.

3.    Treasurer’s Report: The Treasurer’s report was distributed for review.  The balance as of August 26 was $1,721.48 in checking and $1,855.44 in savings for a total of $3,576.92.  The report was accepted as submitted.

4.    Committee Reports:

        a.    Advertising and Recruiting: Chairmen needed.

        b.     Social Calendar: Nothing new to report.

        c.     Hawaii Festivals:  

                (1) 2001 Festival: Chairman Tim Voss reported that we have received 16 registration forms so far for the January 2001 Festival.  He reported that a typo in the registration form misquotes the price for the Monday night Polynesian Cultural Center special event.  Steps will be taken to correct the problem.

                (2) 2002 Festival: Tim Reported that Dan Drumheller’s father-in-law has agreed to cue for the 2002 festival for two plane tickets at a cost of $800.  Funding of the additional ticket was felt justified because no hotel room will be required.  Callers lined up for 2002 festival are Doug Davis, Ed Kramer and Bob Van West. Ben Goldberg is available in case Bob Van West does not return his contract.   It was noted that all the contracts contain an escape clause. 

5.    Correspondence:  Nothing of significance except for Festival registrations. 

6.     Old Business:

        a.  Promotion of Royal Aloha Medallion: Henry reported that there have been no recent requests for Royal Aloha medallions and asked representatives to distribute the applications among the club members.    

        b.  Tax Exempt Status: David said that he has been working on the Federation’s tax exempt status and will have something to report at the next meeting.

        c.  Federation Picnic: Henry reported that the Federation picnic was rained out.  The usual participants were notified around 10:30 a.m. and he and Janet drove to the picnic site and remained for 45 minutes in case anyone showed up.  The custodian validated the permit and the Director of Parks has agreed to return the $40 fee.  It was noted that locals apparently feel that pavilion use is on a “first come, first served” basis so it may be prudent to get our bid in early next year to reserve Bellows Field.                                                             

        d.  Insurance:  The matter of the disposition of the Contra dancers’ request to be included in the Federation’s insurance policy was raised.  Doug reported that their questions had been answered, but their request has not been renewed.

7.    New Business:

        a.        Dissolution of the Diamond Heads ‘n Squares: Henry reported that final dissolution of the Diamond heads ‘n Sides Club occurred on August 14 due to the transfer of their caller, Ken Jordan, to the mainland.  A former club member reviewed problems encountered during the dissolution and suggested that all clubs should include specific guidelines in their Constitutions for dissolving their clubs should it become necessary in the future.  It was agreed that $16.80 owed the Federation by the Diamond Heads ‘n Sides for buttons handed out at the Farmers & Farmeretts dance of July 21 and not included in the final figures should be billed to Dick Kofford as former president.

        b.     Hot Foot Stomp: Dave Lemon reported that he had heard from Jack Russell that the Big Island Fall Festival has been scheduled for November 17-19 at the Kilauea Military Camp, Volcanoes National Park.  The Festival will feature Naaman Morehouse, caller, and Freddie Loveless, cuer.  Currently KMC cabins are fully booked, but standby reservations are possible by calling (808) 438-6707.  20 bunks are available for male/female square dancers.  Other cottages or rooms in Volcano are also available from $75 a night, with breakfast included.  For further information, please contact Dave Lemon at (808) 456-8465.                                                     

       c.    Festival 2002 Discussion: Due to declining membership on Oahu there may be a shortage of workers to participate in future festivals. More square dance clubs now exist on the neighbor islands than on Oahu and the possibility of holding future festivals on one of the neighbor islands was raised.  This matter is now open for discussion among clubs and comments and suggestions are welcome.  It was noted that only 8 dancers from the neighbor islands attended the 2000 festival with only one response to the offer of free bed and breakfast having been received.  Perhaps more neighbor island dancers would attend if the event was held in their venue, and it was agreed to extend the invitation to the Big Island and Maui to host future festivals.                   

        d.     Festival 2001 Special Event Wednesday night Dance: The matter of who will host the Wednesday night local callers dance formerly hosted by the Diamond Heads was brought up.  Both the Square Wheelers and the Tsunamis indicated an interest.  At the present time the Tsunamis plan to host the After-Party Cruise dance on Sunday and the Hayseeds and Square Wheelers together are hosting the Polynesian Cultural Center event on Monday night.   It was pointed out in the discussion that the Hayseeds and Square Wheelers still retain their original identity (Constitution and treasury), having combined for dancing purposes only, on the same night with the only available caller on the island.

 It was moved by Kim and seconded by John that the Hayseeds host the Wednesday local callers' dance.  After discussion, the motion was passed with no nays and Joan, Tim and Tat abstaining.  A report on the Hayseeds’ plans for the Wednesday night event will be made at the next meeting.

8.     Club Reports/Events: Future events are listed on the Web Page, recorded on the Hot Line, printed in the Current Events Flyer, and shown on the Social Calendar (remember, written notes are requested to ensure accuracy).

        a.     All-Oahu Dance: Sunday, September 10, at the Palladium, Andy Scott, caller, Dan Drumheller, cuer.  Pre- Rounds start at 6:30 p.m. and dance at 7:30 p.m.  (Note: Clubs interested in sponsoring an All-Oahu dance should contact a Federation officer.  All proceeds from the dance go to the sponsoring club.)                                                

        b.     Pali Twirlers: Halloween Dance, Sunday, October 29, from 7:00–9:00 p.m. at the Palladium.  The Pali Twirlers are also inviting all square dancers to a Christmas party at Pohai Nani in December, final date to be announced.

        c.     USA West Convention: Tim reported a very successful convention with 1,181 participants.  USA West will go dark in 2001 in support of the National Convention in Anaheim.  2002 will be the next convention with the location pending.

        d.      Square Wheelers and Hayseeds: Dancing at the Bandstand every Monday night except following an All-Oahu dance.  David noted that the ballroom dancers meet at the Palladium 16 nights a month and no night is currently available for square dancing.  He has petitioned the Mayor for one night a week for square dancing at the Ala Wai Ballroom and if the request is granted the Square Wheelers and Hayseeds may be changing their venue.

9.   Adjournment:  The meeting was adjourned at 4:03 p.m.

Next Meeting: The next meeting of the Federation will be held on Sunday, September 24, at 3:00 p.m., at the Camp Smith Recreation Center.  As a second choice, Kim extended an invitation to hold meetings at her home any evening except Sunday.
