SEPTEMBER 24 ‘00 FEDERATION MEETING MINUTES

The September 24 ‘00 Federation Meeting was convened at 3:05 p.m. at the Coast Guard Recreation Center at Red Hill.

1.     Attendance:  Henry Staehle, Chairman; Douglas Warne, Vice Chairman; Tat Tatsuguchi, Treasurer; and Janet Granich, Secretary.  The following clubs were represented: Hayseeds, Square Wheelers, Pali Twirlers, and Tsunamis.  Guests:  Barbara Tatsuguchi, and Yona and Al Chock

2.     Minutes:  The Minutes of the August 27, 2000, meeting were reviewed.  No corrections were noted and the minutes were accepted as presented.

3.    Treasurer’s Report: The Treasurer’s report was distributed for review.  The balance as of September 24 was $1,203.92 in checking and $1,855.44 in savings, for a total of $3,059.36.  The report was accepted as submitted.

4.    Committee Reports:

        a.    Advertising and Recruiting: Chairmen needed.

        b.     Hawaii Festivals:  

                (1) 2001 Festival: Chairman Tim Voss reported that as of September 20th a total of 20 dancers have registered for the January 2001 Festival.  Approximately half of the registrants are local.  A full-page advertisement has been placed in the September issue of the American Square Dance Magazine at a cost of $500.  We will receive an additional ad free because we are running an ad for them in our Festival program.  We are also running a 1/4-page ad in the National Square Dance Directory.

                (2) 2002 Festival: Tim reported that he has still not received a signed contract from Bob Van West confirming him as a caller for the 2002 Festival.  A letter enclosing a third contract will be mailed Monday requesting his signature and return by October 15 or it will be assumed that he is no longer interested and we will pursue other options.   . 

5.   Correspondence:  Nothing of significance.

6.     Old Business:

        a.  Royal Aloha Medallion: Henry reported that a total of 24 people have now received the Royal Aloha Medallions, the most recent being Pat Murphy and Bob Keller.  Requirements for qualification are attendance at two Festivals in a three-year period and attendance at two dances on the Big Island and one special dance on Maui during the same three-year period.  Qualification may be self-certified.  The cost of the medallion is $2.00 to the recipient.    

        b.  Tax Exempt Status: Dave reported that he is preparing the necessary paperwork for a blanket tax exemption covering the Federation and all subordinate clubs as members of the Federation. 

        c.  Constitution:  Dave provided signed copies of the new Federation Constitution that was approved last January. The Federation Secretary will mail out copies with the next minutes.

        d.   2001 Festival:

              (1) Wednesday Square and Round Dance Party: Kim Akagi reported that the Hayseeds had met and approved hosting the Wednesday trail-in dance. It is not known at this point who will MC the evening, or who the specific callers or cuers will be, but all qualified visiting callers and cuers will be welcome to participate.

              (2) Theme: Yona Chock indicated that she would be willing to update the stage backdrop created by her to conform to a selected theme.  After discussion, it was agreed that the theme “Hawaii” would be appropriate and would be in conformity with Yona’s suggested additions of whales/dolphins, or windsurfers.

              (3) Contra dancing: Yona offered to conduct a contra dance workshop during the Festivals for two hours on Friday afternoons. She also suggested having a free dance session during the Festivals that would be open to the general public.

        e.     Hot Foot Stomp: November 17-19.  Dave Lemon reported that although the KMC cabins are currently fully booked, unclaimed reservations should open up in mid-October and standby reservations are being accepted by calling KMC at (808) 438-6707.  Other cottages or rooms in Volcano are available from $75 a night at My Island Inn (808) 967-7216, Country Goose (808) 967-7759, or Volcano Cottages (808) 967-7986.        f.    Future Festivals: Henry asked if the matter of future festivals being hosted by neighbor island clubs, considered at the last meeting, had been discussed among the Oahu clubs. It appears that all clubs concur with the idea, but it was generally agreed that since most agreements have already been set up with callers for the 2002 Festival it should be held on Oahu through 2002 with the expectation that the neighbor islands will host the 2003 Festival.  It was agreed to send a formal letter to club presidents on the neighbor islands, with a copy to their Federation representatives, inviting them to host the 2003 Festival.

7.    New Business:

        a.     Dancing in the schools: Yona said that she and Al had recently participated in the annual meeting of “Pourparler” which is an organization consisting of people who teach schoolchildren to folkdance.  This year’s meeting was held in Sacramento, CA, and in 2001 it will be in Boston, MA.  Pourparler asked about convening the meeting in Hawaii.  If this were to occur, local support would be needed.  She asked if the Federation would be interested in supporting the conference, which meets in mid-September or early October within the next two years.

8.     Club Reports/Events: Future events are listed on the Web Page, recorded on the Hot Line, printed in the Coming Events Flyer, and shown on the Social Calendar (remember, written notes are requested to ensure accuracy).

        a.  All-Oahu Dance: Sunday, October 8, at the Palladium, Andy Scott, caller and Dan Drumheller, cuer. The Federation is sponsor.  Pre-Rounds at 6:30 p.m. and square dance at 7:30 p.m.  (Note: Clubs interested in sponsoring an All-Oahu dance should contact a Federation officer.  All proceeds from the dance go to the sponsoring club.)

        b.  Hot Foot Stomp: Friday – Sunday, November 17-19, featuring Naaman Moorehouse and Freddie Loveless.  Registration forms are now available and it has been requested that they be submitted by November 1

        c.  Pali Twirlers: Halloween Dance, Sunday, October 29, from 7-9:00 p.m. at the Palladium.  The Pali Twirlers are also inviting all square dancers to a Christmas dinner at Pohai Nani on Thursday, December 21, from 6:00 to 9:30 p.m.

        d.  Square Wheelers and Hayseeds: Christmas champagne brunch at the Hale Koa, December 17 at 9:30 a.m.  Cost is $21 per person, advance reservations required.   Toys for Tots dance will also be held on December 17, pre-rounds at 6:30 p.m., square dance at 7:30, Andy Scott, caller, Dan Drumheller, cuer.  Dancing at the Bandstand every Monday night except the Monday night following an All-Oahu dance.  Dan Drumheller has been retained as cuer for the Square Wheelers and Hayseeds through the remainder of the year.

        e.  USA West: Yona reported that she and Al had attended the 4th USA West Convention in Casper, Wyoming and had conducted an 8 ½- hour workshop for teachers on how to teach square dancing on the Wednesday preceding the convention, sponsored by the Square Dancers of Wyoming.  Eight Wyoming and one Nebraska school teachers and two callers attended the workshop, entitled “Dance Your Way Through History.”  Yona held contra classes in the afternoon and led the contra dancing in the evenings during the 3-day convention.  On Saturday morning she held a hula class with 40 participants. The next USA West convention will be held in Boise, Idaho, in 2002 in late August.

        f.  National Conventions: The next National Convention will be held in Anaheim, CA, in 2001, in Minneapolis in 2002, and in Oklahoma in 2003.

        g.  New dance group: Tim announced that Norman Hangman has formed a new student dance group that will meet at St. George’s Episcopal Church off Nimitz Highway near the airport.  Class will start on Thursday, November 2nd from 7-9:00 p.m.  Children are welcome.  Admission is free.  Call 422-7888 for further information.

9.   Adjournment:  The meeting was adjourned at 3:47 p.m.

Next Meeting: The next meeting of the Federation will be held on Sunday, October 22 at 3:00 p.m., at the Red Hill Community Center (Coast Guard).
