NOVEMBER 18 ‘00 FEDERATION MEETING MINUTES

The November 18, 2000 Federation Meeting was convened at 4:05 p.m. at the Kilauea Military Camp Headquarters Building, Hawaii.

1.      Attendance:  20 Federation officers, club representatives and guests were in attendance.  Federation officers represented were Henry Staehle, Chairman; and Janet Granich, Secretary.  The following clubs were represented: Hayseeds, High Hopes, Hi-Lo’s, Lava Klinkers, Maui Mixers, Rainbeaus & Belles, Slewfoot Prominaders, Square Wheelers, and U-Turners .

2.      Minutes:  The Minutes of the October 22, 2000, meeting were reviewed.  No corrections were noted and the minutes were accepted as submitted.

3.    Treasurer’s Report: In the absence of the treasurer, Chairman Henry Staehle reported that the last Treasurer’s report as of October 31 showed a balance in checking of  $2,016.45 and in savings of $1,864.79, for a total of $3,881.24.  Since that date deposits have been made into the checking account as a result of checks received for the 2001 Festival, resulting in an overall current balance of $5,532.32.  Some of this money is being held in escrow for clubs sponsoring special events.

4.    Committee Reports:

a.  2001 Festival: In the absence of Chairman Tim Voss, Henry reported that as of November 15, a total of 54 dancers have registered for the Festival including 22 from Oahu, 6 from Maui, and one from the Big Island.  He noted that the registration fee will escalate to $30 after December 1.

5.   Correspondence:  No significant correspondence other than registrations for the 2001 Festival.

6.    Old Business:

      a.  2001 Festival Special Events: Henry asked club representatives to urge their members to participate in the State Festival and its special events, which consist of the following:

            (1) Polynesian Cultural Center show sponsored by the Square Wheelers on Monday.

            (2) Luau by the Bay, sponsored by the Pali Twirlers at Heeia State Park on Tuesday.

(3)Trail-in and Local Callers Dance, sponsored by the Hayseeds on Wednesday night.  All local callers present are welcome to participate.

            (4) Whale-Watching and Dance Cruise sponsored by the Tsunamis on Sunday morning.

      b.  Royal Aloha Medallion: 24 medallions have been presented so far.  A sample medallion and applications were passed around to those present.

      c.  Future Festivals: Henry referred to a letter sent to all neighbor island club presidents on 9/25/2000 inviting them to host future Hawaii State Festivals beginning in the year 2003.

            (1) Big Island: Deed Reimer reported that available facilities on the Big Island lack air conditioning, adequate floor space, wood floors and the two usable halls required for a successful festival.  The use of a hotel is financially unfeasible.

            (2) Oahu:  David Lemon said that because of declining attendance fewer than 300 dancers (or less than 35 squares) are expected to participate this year.  Oahu is down to two active clubs of about two squares each, leaving approximately 16 people to run the festival.  However, square dancing on the Big Island appears to be growing.

            (3) Maui:  Steve Strong reported that Maui has similar problems.  Clubs are down to one or two squares, there is no air conditioning at Maui’s largest facility, the Wailuku Community Center, and it has problems of cement floors, and marginal accoustics.  Lahaina has public facilities, but no adequate hall.  This matter will be given further consideration and will be discussed again at a future meeting.

7.       New Business:

a.  Festival Volunteers: Henry said that volunteers would be needed to man the registration tables and for clean-up duties after each evening’s dance. Oahu clubs will handle the cleanup for Thursday and he asked neighbor island representatives to discuss this matter with their clubs and let him know who will furnish cleanup for the Friday night dance.  Everyone will participate in the Saturday night cleanup.

b. Ideas for Information Management: David reported that he has recently redesigned the Square Dance Web Page and said that it was currently available for viewing on a portable computer. He noted that over 5,000 people have checked it out to date and said there should be many opportunities to showcase the neighbor islands and their festivals on the Web Page. He encouraged each of the clubs to appoint a designated representative as a point of contact who will monitor the Web Page and provide current information from their clubs. Pictures of club members, if furnished, can be also be included on the Web page. He noted that the Hot Line is also a good resource and has been receiving four or five calls a week

8.            Club Reports/Events: Future events are listed on the Web Page, recorded on the Hot Line, printed in the Coming Events Flyer, and shown on the Social Calendar (remember, written notes are requested to ensure accuracy).
