JANUARY 7 ‘01 FEDERATION MEETING MINUTES

 The January 7, 2001, Federation Meeting was convened at 3:00 p.m. at the home of David Lemon.

  1.  Attendance:  Henry Staehle, Chairman; Douglas Warne, Vice Chairman; Tat Tatsuguchi Treasurer; and Janet Granich, Secretary.  The following clubs were represented:  Hayseeds, Square Wheelers, Pali Twirlers, and Tsunamis. 

 2.  Minutes:  The Minutes of the November 18, 2000, meeting were reviewed.  No corrections were noted and the minutes were accepted as submitted.

 3.  Treasurer’s Report: The Treasurer’s report was distributed for review.  The balance in checking, as of 1/1/01 was $8,095.29, and in savings as of 9/30/00 was $1,864.79 for a total of $9,960.08.  A report of bank activity for the year 2000 was also distributed for review.

 4.  Committee Reports:             

                a.  Hawaii State Festivals:

                   (1) Festival 2001: Tim Voss reported that as of January 4, a total of 121 people have registered for the Festival.   A Festival checklist was distributed and commented upon.

                           (a) Festival Permit: Dave indicated that although a permit has not yet been received, the Festival is included in the City & County’s schedule of events for the month of January. 

                            (b) Dance Schedule: The proposed dance schedule was passed around for approval and final proofing, pending possible changes from Yona who is currently out of town.  Printing charges will be covered by the Tsunamis. 

                            (c) Stuffing Party: A potluck stuffing party will be held Sunday, January 14 at 11:00 a.m. at the home of the Schneidermans in Kailua.  All members are invited to attend.

                            (d) Budget:  Tim reported that with the exception of the callers and cuers all major expenses have been paid.  Their expenses should approximate $2500, and it is expected that the Festival will break even.

                            (e) Volunteers:  Volunteers are needed for the following activities:

                                   1) Packet stuffing on Sunday, January 14 at 11:00 a.m. at the Schneidermans’ home in Kailua.

                                   2) People to distribute packets at Outrigger East, 150 Kaiulani Ave. on Sunday, Monday, and Tuesday, January 21–23, from 1:00 – 3:00 p.m., at a location in the hotel to be determined (hopefully in the lobby).  Note:  Metered on-street parking is usually available on Nohonani St., or Kanekapolei, one block Ewa or mauka of the hotel.

                                   3) Hosts and hostesses to pass out programs and sit at the information table during the Festival.

                                   4) People to distribute packets and handle last-minute financial transactions for the first hour each night during the Festival.

                                    5) Kim Akagi agreed to host the callers and cuers Hospitality Room.

                   (2) Festival 2002: Tim reported that he has mailed out 250 flyers with early bird registration forms to all callers and cuers as well as a group from Texas which is planning to charter a flight.

5.  Correspondence:  (1) Confirmation letters sent to all Festival registrants. (2) Letters sent to approximately 25 Oahu dancers who have not registered for the Festival, enclosing registration forms and special event flyers. (3) Approximately 5 letters to registrants concerning errors in amounts, special requests, and inquires regarding the Festival. (4) E-mail correspondence with Steve Strong regarding the Maui No Ka Oil Festival; mailing labels of all Hawaii dancers sent to Steve for distributing flyers and registration forms for the Maui Festival.

6.    Old Business:

        a.  2001 Festival Special Events: It was noted that participation in special events by local members has been slow this year.  Representatives were asked to urge their club members to support the special events.

                (1) Polynesian Cultural Center, Monday, 1/22/01: 37 are registered. Kamaainas plan to wear square dance attire and arrive at 4:30.  Exchange Dance and Welcoming Ceremony will be at 6:00 p.m. with Andy calling two tips.

                (2) Luau by the Bay, Tuesday, 1/23/01: 44 are registered.  (Last year 157 were served.)  The event will begin at 4:30 p.m. rather than 4:00 p.m. as last year, and buses should plan to arrive at 4:30 p.m.  Coffee, punch, and snacks will be available upon arrival and a tour of the facility will be conducted from 4:30 – 5:30. Dinner will be served at 5:30 p.m.  Bus drivers will be served dinner and the buses should plan on leaving at 9:30 p.m.

                (3) Trail-in and Local Callers Dance on Wednesday, 1/24/01.  Nasser Shukayr of Lou Mac Records will be featured caller and Dan Drumheller will cue.  Cost is $5.00 at the door, if not registered.

                (4) Whale Watching and Dance Cruise on Sunday morning, 1/28/01: 33 are registered.  66 are needed for break-even and efforts will be made during the Festival to sell additional tickets.

        b.  Insurance:  The Federation insurance payment is due this month. Doug will contact Irene Ferreira on Maui to find out why we have not received an invoice.  Henry has the policy.

        c.  Tax Exempt Status: Nothing new to report.  It was noted that the Federation’s tax year ends January 31, so all bills should be submitted and escrow accounts paid by January 30.

7.  New Business:

        a.  Nominating Committee: Tat announced that he would be resigning as Treasurer of the Federation.  Henry agreed to continue his second-of-three-year term as Chairman and Doug will continue his second-of-two-year term as Vice Chairman. Janet has completed her third year on the Board but has agreed to accept nomination for the office of Secretary for another three-year term.  A new Treasurer is needed and club representatives were asked to poll their members to find out who would be willing to be nominated for the post of Federation Treasurer or Secretary.

        b. Ala Wai Clubhouse as new venue for Square Dancing: David reported that he has been communicating with City Hall in an attempt to secure a permanent weekly night at the Ala Wai Clubhouse for Square Dancing.  He said he has pointed out to the Mayor that the Ballroom dancers have monopolized the Palladium, leaving little space available for other activities.  As a result of his efforts, beginning June 1 Sunday nights have been offered to the Federation. He said he will propose to the Square Wheelers and Hayseeds that they change their dance schedule from Monday to Sunday nights and accept the offer.  The Federation could still host the All-Oahu dances on the second Sunday of each month, if desired, and special dances planned by clubs would also be honored.  Dancers should now make a special effort to come out to the Sunday evening dances to justify the permanent use of the Ala Wai Palladium. Dave said he will continue to push an option for another night and needs to know which night is most popular.  Details can be worked out with any clubs regarding special dances.

8.  Club Reports/Events: Future events are listed on the Web Page, recorded on the Hot Line, printed in the Coming Events Flyer, and shown on the Social Calendar (remember, written notes are requested to ensure accuracy).

                a.   Pali Twirlers: Nothing to report.

                b.  Square Wheelers and Hayseeds: See paragraph 7.b. above.  Valentines Dance at the Ala Wai on February 11th .

                c Maui Mixers: The Maui No Ka Oi Festival will be held April 26-29, 2001. Dennis Farrar (The Great Yodeler) from Glendale, Arizona, and Maui’s Bill Peters will be callers.

      d.  All-Oahu Dance: January 14th at the Ala Wai Clubhouse.  Round dancing at 6:30 p.m., square dancing at 7:30 p.m.  Andy Scott calling, Dan Drumheller, cuing.

      e.  USA West: The next USA West Convention will be held in August 2002, in Boise, Idaho.

     f.  National Conventions: The next National Convention will be held June 27-30 in Anaheim, CA, in 2001, in Minneapolis in 2002, and in Oklahoma in 2003.

9.  Next Meeting: The Annual Meeting and election of officers will be held on January 27, 2001, at 5:30 p.m., in the Ala Wai Palladium Ballroom in conjunction with the 2001 Festival.

10.  Adjournment:  The meeting was adjourned at 4:30 p.m.
