MAY 20, 2001 FEDERATION MEETING MINUTES

The May Federation Meeting was convened on Sunday, May 20, at 3:00 p.m., at the Red Hill Community Center.

1.  Attendance: Federation Chairman, Vice Chairman, Treasurer, and Secretary.  The following clubs were represented:  Hayseeds, Pali Twirlers, Square Wheelers, and Tsunamis.

2.  Minutes:  The Minutes of the April 28th meeting were reviewed.  No corrections were noted and the minutes were accepted as submitted.

3.  Treasurer’s Report: The Treasurer’s report was distributed for review.  The balance in checking as of 5/20/01 was $2,275.76, and in savings $1,569.79, for a total of $3,845.55.  The Treasurer noted that the Federation's assets are approximately $1,000 below that of last year.  Checking and Savings Registers for 3/1/01 through 5/21/01 were also distributed.  The Treasurer's Report was accepted as submitted.

4.  Committee Reports:           

        a.  2001Hawaii State Festival: TimVoss reported that 41 Federation members have registered so far for the Festival, creating an income of $820.  A final draft of the special event flyer and registration form was distributed for approval and they will go to press this week after minor changes are made.

            (1) Volunteer Schedule: The signup sheet for Festival volunteers has been distributed to all clubs but no response has yet been received.  Volunteer help will be greatly appreciated by those who have worked in the past, especially during the Saturday night cleanup.

            (2) Special Events:

                  (a) Square Wheelers: Dave reported that the Square Wheelers will be holding its "Aquarium Adventure" special event at the Waikiki Aquarium on Monday, January 21.  A $10 admission fee will include a tour of more than 200 marine exhibits, refreshments and square dancing on the lawn from 7:00-9:30 p.m.   

                  (b) Pali Twirlers: The Pali Twirlers plan to hold their Luau by the Bay event the same as last year, except there will be no Hawaiian games because Bishop Museum has declined to loan them out.                                                

                  (c) Hayseeds:  The Hayseeds plan to hold their usual Wednesday night square and round dance event with local and guest callers. Squares and rounds will be held in separate halls.

                  (d) Tsunamis:  Tim is again planning to hold the Whale Watching cruise on Sunday morning following the Festival.  Dancing will be held in the Nova room where breakfast and lunch will be served buffet style. Because the Star of Honolulu has raised its prices this year, the cost will be $50.

            (3) Publicity:  With only one month to go before the National Convention, immediate arrangements must be made with the Hawaii Visitors Bureau to pickup copies of their brochures, maps, posters and pineapple stickers for transportation to the Convention.  Considerable shipping costs could be saved if those attending the Convention would agree to help transport the material.

5.    Correspondence:  Nothing of significance.

6.    Old Business:

       a.  Club dues: Henry reported that the question of raising club dues to cover Federation fixed expenses such as the Post Office Box, telephone hotline, insurance and other incidentals was discussed at the Maui meeting.  Because some dancers belong to more than one club it was suggested that each dancer pay yearly dues directly to the Federation.  $7.50 each would cover the Federation's fixed expenses of $1500 and would be in lieu of the current $50 per club dues.  Since dues for this year have already been paid a decision on this matter will be made at the Annual Meeting next January.  Federation officers will continue to look for ways to reduce costs.   Input from all clubs is requested on this subject.

       b.  Telephone Hot Line: David reported that a usage evaluation by the Telephone Company of the Hotline would be available by the end of the month.  Currently we have four hotline mail boxes: Opening; Oahu Activities; Neighbor Island Activities, and Classes, at a cost of $10 per box.  If we can condense this information into one box, we should be able to cut monthly expenses to a little over $15 vs. the current $45.

        c.  Address book: Janet reported that the draft of the new address book would be completed this week.  David offered to print the book, as he did two years ago, using the green cover stock left over from the Festival programs.

        d. Tenderfoot Dance Media Effort: Dave reported that the Square Wheelers are sponsoring a major media effort to recruit new dancers and public announcements have been issued to 30 media people for a "Tenderfoot Dance" to be held on June 3rd at the Ala Wai Palladium from 6:30 - 9:30. Channels 4 and 2 will include Square Dance Exhibitions on May 25th and June 1st, respectively.  There will be public service announcements on KHVH and PBS. Press releases and informational material have also been issued to all newspapers. Midweek, The Star Bulletin and the military newspapers will have a paid ad.  Greeters and angels are needed at 6:30 p.m. on June 3rd

        e.   Future of Second-Sunday-All-Oahu Dance: Noting that the Square Wheelers have reserved every Sunday at the Palladium for classes and dances beginning in June, Henry asked David about the future of the All-Oahu Dances, traditionally held on the second Sunday of each month over the past two years.  David confirmed that no plans have been made to continue these dances, although requests for special dances on Sundays will be honored for those clubs reserving dates for the Palladium in advance.  At this time, the Pali Twirlers requested and were granted Sunday, October 28th for their Fall Fling dance.

7.    New Business:

        a.  Hearing Enhancement Device: Dave reported that Steve Strong from Maui had contacted him with the suggestion that the Federation purchase a Williams Hearing Enhancement System device.  This device works very well for hearing-impaired dancers.  The initial cost would be approximately $600. The device could be rented out to other clubs holding festivals for $50 to help reclaim this investment.  Dave noted that this is a very good idea, but it cannot be acted upon at the present time because no money is available in the Federation budget.  The possibility of outside funding options will be considered.

8.   Club Reports/Events: Future events are listed on the Web Page, recorded on the Hot Line, and printed in the Coming Events Flyer (remember, written notes are requested to ensure accuracy).

      a.   Tenderfoot Dance sponsored by the Square Wheelers: Sunday, June 3rd, from 6:30 - 9:30 p.m. at the Ala Wai Club House.  Greeters and angels are urged to attend this major effort to interest new dancers.

      b.   Pali Twirlers: The Pali Twirlers will be hosting their annual October dance on the last Sunday of the month.  It will be renamed the Fall Fling, replacing the former Halloween dance.

      c.  Square Wheelers and Hayseeds: Dave reported that Anne Zapotocky is doing well in the hospital after falling and injuring her hip.

      d.   Federation Picnic: The annual Federation picnic has been scheduled for Sunday, August 19th at Bellows.     

      e.  All-Oahu Dance: The May 13th dance at the Palladium was successful, with 32 dancers attending.

       f.  USA West: The next USA West Convention will be held August 21-24, 2002, in Boise, Idaho.

       g.  National Convention: Dave reported that as of March 31st, 26 dancers from Hawaii would be attending the National Convention in Anaheim from June 26-30.

9. Next Meeting: There will be no June Federation meeting due to the National Convention. The July meeting location will be announced at a later date after it is determined if classes will be held on Sundays at the Palladium.

10.  Adjournment:  The meeting was adjourned at 4:00 p.m.
