FEBRUARY 2002
The February 2002 Federation Meeting was
convened on Friday, February 22, at 7:05 p.m., at the Red Hill Community
Center.
1.
Attendance: Federation Chairman, Vice Chairman, Secretary, and Festival
Chairman. The following clubs
were represented: Pali
Twirlers, Square Wheelers, and Tsunamis.
2. Minutes: The
minutes of the Annual Meeting, held on January 26, 2002, were accepted as
submitted.
3. Treasurer's Report:
a. In the absence of Treasurer Tim Rogers, Dave presented the
Treasurer's Report. He reported
an income of $7,122.51 and expenses of $9,057.38 since 12/28/01, leaving a
balance as of 2/22/02 of $1,999.76. He noted that unresolved Outrigger
Travel accounts receivable of $580 and liabilities of $825.43 leave a
balance still owed of $245.43. A
Check Register Report through 2/28/02 showing these figures projected was
included.
b.
Federation Fixed Expense Budget Estimate:
Due in part to the loss of three clubs last year, low Festival
attendance, and increased insurance costs, it has become necessary to raise
club dues to $100 per year to cover the Federation's fixed expenses.
A proposed 2002 Federation Budget totaling $1,925 was presented for
review. The Board will continue to investigate options for reducing
costs throughout the year and welcomes all comments and suggestions.
4. Committee Reports
a.
Hawaii State Festival 2002:
(1) Festival Chairman's Report:
Tim Voss reported that in spite of lower attendance (158 dancers) the
2002 Festival was successful and everyone appeared to have a good time.
There were many compliments and no complaints.
(2) Special Events (Rebates): Except
for the Tsunamis, special event reports were previously presented at the
Annual Meeting. Tim reported
that 42 had pre-registered for the Sunday cruise and several complimentary
tickets were issued to callers and their families, for a net loss to the
Tsunamis of $6.00. 38
registered for bus transportation. Although
the duration of the cruise was reduced, due to elimination of the Pearl
Harbor portion, it was an enjoyable event, whales were seen, and the meal
was excellent. In accordance with contract agreements, rebates to the
Federation were as follows*:

absorb the $6 loss incurred by the Tsunamis.
5. Correspondence:
a.
Festival Critiques: Forms
were included in the packets, but only one critique was returned. That one was generally favorable, but had a few suggestions.
b.
Federation Post Office registration:
Dave reported that the Pearl City Post Office now requires the name
of a person to be responsible for mail delivery to a Post Office Box, or the
mail will be returned to the sender. Dave
has complied with the requirement and registered with the Post Office for
Federation mail.
c.
Parks and Recreation Department complaint:
Dave reported that because of inaction by the Parks & Recreation
Department to our complaint regarding use of the Ala Wai Ballroom Palladium,
the Policy Board has asked it to report back on a monthly basis on its
progress until the problem has been resolved.
6. Old Business
a.
Federation Insurance Renewal:
Dave reported that our insurance, in the amount of $1,026.42, has
been paid for the ensuing year. Our
request for a review of the increased cost, in light of our lower current
membership and reduction in clubs to only 9, was rejected for the reason
that the amount billed is their minimum quote.
b.
Club dues increase: The
Chairman has forwarded a letter to all clubs (included with these minutes)
announcing an increase in yearly dues to $100 and offering the Board’s
rationale for the increased costs. Clubs
are urged to pay their dues as early as possible.
c.
Renewal of BMI and ASCAP Licenses:
Yearly BMI and ASCAP licenses in the amount of $180.00 have been
renewed.
7. New Business
a.
Nominations for Callers and Cuers for the 2003 Festival: Dave asked for suggestions from the membership for preferred
callers and cuers for next year's festival.
Names mentioned favorably by those present were as follows:
Ed Kremmers, Bob Van West and Doug Davis (all callers at the 2002
Festival), who would like to return. Also
favorably mentioned was Nasser Shukayr who has called for us in the past.
Suggestions from clubs and individuals are welcome.
Costs must be considered in any negotiations.
A final decision should be made in April.
b.
Plans to attend the National and USA West Conventions: Dave requested the names of persons planning to attend the
USA West and National Conventions. Help
will be needed with the Hawaii displays at those events.
c.
2003 Festival registration:
20 early bird registrations for the 2003 Festival have been received
so far.
d.
Rosters requested for Address Book update:
Clubs are requested to submit updated rosters or report any address
changes to the secretary (janetg@inix.com) or telephone 396-0475. There will be no address book this year, but reported changes
will be published as an addendum to the 2001 Address Book.
8. Club Reports and Activities: Future events are listed on
the Web Page, recorded on the Hot Line, and printed in the Coming Events
Flyer (remember, written or e-mail notes are requested to ensure accuracy).
a.
Pali Twirlers: Joan Warne announced that the Pali Twirlers will
sponsor an ice cream social for all square dancers Thursday, February 28th,
at the Pohai Nani Auditorium, 7:00-9:30 p.m.
There will be no charge for the dance or the refreshments.
b.
Square Wheelers: Dave
reported that new beginners classes start on March 24th with three weeks of
free introductory classes from 6:30-8:00 p.m. March 3, 10, and 17. He asked for suggestions for finding new people and urged all
square dancers to support the program by being angels.
c.
Tsunamis: Nothing to
report at the moment; however, they plan to actively sponsor dances
throughout the ensuing year.
d.
St. Patrick's Day Festival: Sponsored
by the Rainbeaus & Belles and featuring Don Woods from Lou-Mac Records
and Freddie Loveless, cuer – Friday through Sunday, March 15-17,
University of Hawaii-Hilo Cafeteria. Cost is $25.
e.
Maui No Ka Oi Festival, Thursday - Sunday, April 25-28, Maui
Okinawa Cultural Center, Wailuku. Featuring callers Bill Peters and Elmer
Claycomb and cuer Dan Drumheller. Packages
are available from Seaside Hotels, or Old Wailuku Inn (800) 305-4899.
9. Next Meeting: The
next meeting will be held on March 29, at 7:00 p.m. at the Red Hill
Community Center.
10.
