DECEMBER 29, 2002 FEDERATION MINUTES

 

The December meeting was convened on Sunday, December 29th at 5:33 p.m., at the Ala Wai Ballroom.
 
1.  Attendance:  Federation Chairman, Vice Chairman, Treasurer, Secretary, and Festival Registrar.  The following clubs were represented:  Pali Twirlers, Square Wheelers, and Tsunamis.
 
2.  Minutes:  The minutes of the November meeting were accepted as submitted. 
 
3.  Treasurer's Report:  The opening balance as of 2/1/02 was $2,866.20; income for the year was $6,677.09 and expenses were $2,798.73, leaving a balance on hand as of 12/29/02 of $6,744.56.   Money in the Club Festival escrow account is $1,851 and Federation balance after escrow pay-off will be $4,893.56.  Assets on hand last year as of 12/31/01 were $3,837.63
 
4.  Committee Reports
            a.   2003 Hawaii State Festival:
                  (1) Chairman's Report:  (a) Caller's:  All callers and cuer are confirmed and coming as scheduled.  Expenses will be $260 each for hotels and $637 air for Shipman, for a total caller expense of  $1677.  (b) Program:  A community dance has been added to the program and will be held on Saturday at 10:00 a.m.  Flyers need to be posted and a press release will be issued.  Members, please pick up flyers at your dance and place wherever you can. The Plus dance hall has been moved to Hall No. 1 because only one caller at a time can comfortably occupy that stage.  (c) Early bird registrations:  Early bird registration forms will not be distributed this year because it is not yet known whether we will have a festival next year. (d) Draft programs were distributed and will be proofed by the officers.  The number of programs to be printed will be low this year and David will print them himself to save costs.
                   (2) Festival Volunteers:  Assignments requiring only an hour or two of your time are available.  Please contact David Lemon at 456-8465.
                   (3) Registrar's Report:  Henry reported that 113 paid dancers have now signed up for the festival. 37 have paid for the luau and 37 for the aquarium. 
 
5.  Correspondence:  David said that a Midweek reporter and photographer would be at the dance tonight to take photos for an article to be run later this month on Square Dancing and our Festival.
 
6.  Old Business:  The annual election of Federation officers will be held at the Annual Meeting in January. Any members willing to serve on the Board of Directors  is urged to come forward and let David know.
 
7.  New Business:  None.
 
8.  Club Reports and Activities: Future events are listed on the Web Page, recorded on the Hot Line, and printed in the Coming Events flyer.
           
            a.  Pali Twirlers:  Nothing new to report.
c.  Big Island:  Tom Shubert, a Big Island caller, will be moving to the mainland in the near future.
             
9.  Next Meeting:  The next meeting will be the Federation Annual Meeting and will be held on January 25, 2003, at 5:30 p.m., at the Ala Wai Golf Course Ballroom.
 
10.   Adjournment:  The meeting was adjourned at 6:05 p.m.
