APRIL 27, 2002 FEDERATION MINUTES

 

The April 2002 Federation Meeting was convened on Saturday, April 27, at 4:05 p.m., during the Maui No Ka Oi Festival, at the Okinawa Community Center in Wailuku, Maui.

1.   Attendance:  Federation Chairman, Secretary, and Festival Registrar.  The following clubs were represented:  Hi-Hopes, Hi-Lo Plus, Lava Klinkers, Maui Mixers, Pali Twirlers, Rainbeaus and Belles, Square Wheelers and Hayseeds, and Tsunamis.

2.   Minutes:  The minutes of the February 22, 2002 meeting were accepted as submitted.  No meeting was held in March.

3.   Treasurer's Report:  In the absence of Treasurer Tim Rogers, Dave presented the Treasurer's Report.  As of March 29, 2002 he reported an income of $1,524.09 with expenses of  $1,356.00 for a balance in the checking account of $2,974.29. He noted that the savings account was closed on January 31, 2002 because the balance was too low to accumulate enough interest to cover the charges.  Accounts receivable from Outrigger Travel remain at $580 with liabilities of $825.  The Treasurer's Report was accepted as presented.  All Federation clubs have paid their dues.

4.   Committee Reports

       a.  Hawaii State Festival:

            (1) 2002 Festival Special Events:  Festival Chairman Dave Lemon reported that in accordance with the Federation's contract with participating clubs, rebates have been paid in full by all clubs that made a profit.  He noted that the Tsunamis had a $6 loss, which Tim Voss graciously agreed to absorb.

            (2) Callers for the 2003 Festival:  Dave reported that he had issued an open invitation over the Callers Web Page to callers who would be willing to participate in our Festival for the privilege of a vacation tax break, explaining that we have no funds this year to pay their travel and lodging expenses. So far he has received three responses. 

            (3) Registrar's Report:  Henry Staehle reported that 36 have registered so far for the Festival, but all but seven are local.  He said that $798 in fees have been received and noted that Federation members pay only $20 while the cost to non-Federation members is $30.

5.   Correspondence:

      a.  Request for Logo:  Dave said that he had received a request for club logos via e-mail from Scott Davis, Sun Shine Squares in Warner Robins, GA.  Anyone wishing to respond to this request should contact Dave.

     b.  Communications:  Dave noted that each island has at least one person designated to be responsible for distributing Federation news and correspondence to its membership (Deed Reimer and Nancy Gangano for the Big island, and Steve Strong and Dave Fullaway /Louis Rosado for Maui have volunteered).      

6.   Old Business:

      a.  Festival Caller/Cuer nominations:  Dave indicated he has received only two responses so far to his request for caller/cuer nominees from the membership for the 2003 Festival.  These are Steve Sullivan and Mike Seastrom (not available because of a previous commitment).  In the past the Federation has paid visiting callers and cuers for their airfare and lodging, which has averaged approximately $1,500.  However, this year we are on a tighter budget and are looking for alternate methods of compensating national callers.  Several options were discussed.

      b.  Club Roster updates:  Dave asked the clubs to submit an update to their rosters so that an addendum can be published to the existing address book instead of publishing a new book this year.  Please report any changes to Dave or the Federation Secretary (janetg@inix.com or telephone (808) 396-0475).

      c.  National Convention, St. Paul, MN:  Dave said that he and Kim will be attending the National Convention in June, but that he had not yet heard of anyone else going.  Help will be needed to man the Hawaii Table and distribute brochures and he asked anyone going who would be willing to help to contact him.

7.   New Business

      a.  USA West Convention: This West-Coast convention will be held in Boise, ID, August 21-24.  Pre-registration is $40.  Registration at the door is $45. (Contact Dave Lemon or visit the web page for applications).  Dave and Ruth Fullaway and Tim and Melissa Voss will be attending and offered to help with the Hawaii displays. Tim reported attending the USA West board meeting in March during which the Policy Board amended the By-laws, doing away with the practice of returning 10% of the profits to the 13-member States.  This was done because the first two conventions were profitable but the rest have been experiencing a loss.

      b.  Royal Aloha Medallions:  Dave reported that he still has 400 Royal Aloha Medallions. This handsome medallion is available through self-certification to those who have attended three State Festivals and four neighbor island dances (two on Maui and two on the Big Island). The cost of the medallion is $4, with the Federation paying for half.  Applications are available upon request

8.   Club Reports and Activities: Future events are listed on the Web Page, recorded on the Hot Line, and printed in the Coming Events Flyer.

      a.  Maui Clubs:  Dave Fullaway reported that Bill Peters is currently teaching a Beginners Class of six.  A new class is planned to start in October.  (Dave Lemon offered to include that information on the Federation's Web Page if he is furnished with the information.)  Maui usually has three squares dancing.

      b.  Big Island Clubs:  (1) Lava Klinkers:  Jack Russell reported that they are looking forward to the Hot Foot Stomp dance at KMC at the Volcano in October, and said that Bill Yoeman will start a new class in May.  (2) Rainbeaus and Belles:  The Rainbeaus and Belles hosted a successful St. Patrick's Day Dance and received very favorable comments on the caller and location.  Next year's St. Patrick's Day Dance is scheduled for March 14-16, 2003. 

      c.  Pali Twirlers: Henry reported a successful Spring Fling dance in April and said that the Pali Twirlers will be holding their annual Fall Fling (previously Halloween) dance in October around the same time as last year.  The Pali Twirlers dance on Thursday nights from 7:00 to 9:30 p.m. and typically have two or three squares.

    d.  Square Wheelers and Hayseeds:  Dave reported that membership now totals 51 with 15 beginners in the new class, which started on March 24.  He said that 13 have joined the club from last year's class and they typically have five squares on Sunday nights at the Ala Wai Clubhouse, and sometimes six.

     e.  Tsunamis:  Tim said he had nothing new to report, but that they plan to actively sponsor dances throughout the ensuing year.

      f.  N. Texas Square and Round Dance Association Pre-Cruise Dance:  The Federation will host a dance on Saturday, June 15, from 7:00 to 10: 00 p.m. at the Ala Wai Ballroom for approximately 100 dancers who will be coming to Hawaii with three callers and two cuers for the Norwegian Star cruise.

9.  Next Meeting:  The next meeting will be held on May 31, at 7:00 p.m. at the Red Hill Community Center.

10.   Adjournment:  The meeting was adjourned at 4:42 p.m.
