Subj: November ‘97 Federal Meeting Minutes

The November 1997 Federation Meeting was convened at 4:00 PM on 22 November 1997 at the Koa Lounge, Kilauea Military Camp, Volcanoes National Park, Hawaii. The meeting was held in conjunction with the annual Hot Foot Stomp Festival hosted by the Lava Klinkers.

ATTENDANCE: The Federation Chairman, Vice-Chairman, and Secretary were in attendance. The following clubs were represented: Aloha Paradise Dancers, Diamond Heads ‘n Sides, Hayseeds, Hi-Low Plus, Ka'u Kickers, Lava Klinkers, North Shore Twirlers, Pali Twirlers, Rainbeaues & Belles, Slewfoot Promenaders, Square Wheelers, and U-Turners.

A total of 30 Federation members and guests were in attendance.

The Chairman opened the meeting and made welcoming remarks.

MINUTES: The minutes from the 19 October 1997 Federation meeting were reviewed. The minutes were approved as written.

TREASURER’S REPORT: The Chairman provided the Treasurer’s report to the attendees. Checking Account balance was $2,776.09 and the Saving Account balance was $5,154.86. 63 paid registrations have been received for the 1998 Convention. 27 Hawaii registrations have been received. December 1st is the cut off date for $25 registration. Lava Klinkers were not listed as Federation Members but the President advised that they had forwarded their annual dues. The Chairman indicated he would review the records with the Treasurer.

CORRESPONDENCE: New correspondence were reviewed. Of significance: a letter from JD Jenkins & Co. was received concerning renewal of the Federation Insurance Policy due January 14th 1998. It was requested that the new policy cover letter be provided to each Federation club.

COMMITTEE REPORTS:

Convention: Vice Chairman gave a verbal report on the convention planning prepared by Mr. Jack Carruthers, Convention Chairman. Progress was reported as generally satisfactory. A need for a Chairman of the Decorating Committee was identified and volunteers were again requested. A conflict with the convention Callers & Cuers Meeting and the Federation Meeting was noted. The Chairman was requested to review the schedule options to ensure Callers & Cuers were free to attend the Federation meeting. A dialog on the process of selecting convention callers and cuers was conducted. The Executive Board was requested to review the Federation procedures and formally establish a policy and procedure to select prominent personalities well in advance of convention dates.

Hotline: Hot Line operation continues to function well. Dave Lemon will be off island from December 6th to January 10th '98. Club representatives should forward Hot Line information to Ken Jordan at Ph: 422-8479.

COMING EVENTS: A summary of coming events was presented. Of note:

Federation Champaign Christmas Brunch will be hosted by the Square Wheelers at the Hale Koa Hotel in Waikiki on December 14th at 9:30 AM. Cost is $18.65 including tax. Reservation required. Validated parking in the Ft. DeRussy Garage. RSVP with Mel Pederson of the Square Wheelers. Ph: 922-9194. All dancers are invited.

Toy for Tots Dance: The Square Wheelers annual Toys for Tots Dance will be held on Sunday December 14th at the Ala Wai Palladium Ballroom. Price of admission is one new toy (unwrapped). Dance will start at 7 PM and feature all island callers and cuers. Contact Bob Todd at 239-6325.

New Years Eve Dance: Rainbeaues & Belles will host a New Years Eve Dance at the Pahoa Neighborhood Center, Big Island. 8 PM to Midnight. Bring a Puu Puu. Call 982-9276 for information.

St. Patrick's Day Festival: Rainbeaues & Belles present its 19th Annual St. Patrick's Day Festival with Naaman Morehouse and Freddie Loveless. March 13, 14, & 15th, 1998. University of Hawaii-Hilo Cafeteria. $25 advance registration by 1 March requested. Call (808) 982-9276 or 965-8693 for information.

Convention After Party Cruise: Bob Keller summarized the plans for the North Shore Twirler's After Party Whale Watching Square Dance Cruise on January 25th from 8:30 AM till noon. Party will be unique and an event not to be missed. Advance registration is requested. Contact Bob at 488-8802.

Advanced Class: Aloha Paradise Dancers will sponsor a new Advanced Class starting in January on Saturdays at the Pearl City Community Center. Instructor/Caller is Ken Jordan.

OLD BUSINESS:

State Roster: Tina Maria Jordan has completed the data base entries. File copies in Excel format are available now from Ken Jordan. Policy for publishing the roster is to be determined at a future date.

Hawaii State Dance Council: A vote was taken on the invitation for the Federation to join the Hawaii State Dance Council. Approval was unanimous.

USA West Membership: The Vice-Chairman discussed state requirements for representation and procedures for approving Hawaii membership. The issue of nominating a state representative remains to be completed at a future date.

Royal Aloha Badge: Two suitable manufacturers have been located. A motion to purchase an initial supply of 20 badges (10 single & 10 double hangers) was approved. There is a $50 charge for initial die construction. Delivery will be in six to eight weeks. Cost is expected to be less than $1.50 per badge.

NEW BUSINESS:

Election of 1998 Officers: Nominations are solicited for 1998 Federation Executive Officers. John Gallagher will be collecting names from those interested and willing to serve. Please call John at 683-0118.

Public Relations Campaign: Steve Strong initiated a discussion on initiating a public relations campaign to advertise and improve the image of Square Dancing in Hawaii. After an in-depth exchange of views, it was requested that members with professional contacts within the media and public relations fields contact Steve or a Federation Club Representative if you can offer ideas or assistance.

Federation Insurance: The Federation Insurance Policy expires January 14th 1998. The Secretary has initiated a letter to Hawaii registered insurance underwriters, soliciting interest in providing coverage patterned after the United Square Dancers of America Policy. Members with contacts in the insurance industry are welcome to contact Dave Lemon with appropriate references or referrals.

CLUB REPORTS: Each Club Representative present was given an opportunity to present a summary report on their respective club activities. Significant events are included in the Coming Events paragraph.

NEXT MEETING: The December meeting will be tentatively scheduled for Sunday, December 14th at 3:00 PM at the Kahala Recreation Center.

Meeting was adjourned at 5:20 PM.
