Aug 13, 1998 Note: Next meeting will be held on the 1st Sunday in Sep (6th) at the Kahala Recreation Center (4:30 PM). Subj: August 98 Federation Meeting Minutes The August 1998 Federation Meeting was convened at 4:35 p.m. on Aug 9th, 1998 at the Kahala Community Center. 1. Attendance: The Federation Chairman and Secretary were in attendance. The following clubs were represented: Aloha Paradise Dancers, Hayseeds, Diamond Heads & Sides, and Square Wheelers. a. A total of 9 Federation members and guests were in attendance. b. The Chairman opened the meeting and made welcoming remarks. 2. Minutes: The minutes for the July 1998 Regular Meeting were reviewed. The minutes were accepted as published. 3. Treasurers Report: The Treasurers report was distributed for review. The balance was $78.08 in checking and $4,255.57 in savings. The account is balanced and reconstructed back through January of 1998. Bank account cards for deposits have been received. The Treasurers report was accepted subject to audit. 4. Committees: Each Committee Chairperson present gave a brief outline of their duties and progress. a. Advertising chairperson was unavailable. Dave Lemon did brief that Midweek Magazine wants a compilation of all the dances in order to update their publication. b. Social Calendar The Rainbeaus & Belles submitted their St. Patricks Day dance schedule through 2001. No inputs for the Mauna Kea RoundUp, Maui No Ka Oi, and Hotfoot Stomp have yet been received. c. USA West Convention Rep A report was deferred until next month when our representative, Tim Voss, will be back. Dave Lemon did report that approximately 1500 pineapple pins were given out at this convention. d. The Convention Chairman, Mr. Robert Keller, tendered his resignation. We are looking for volunteers to take on the responsibility of Convention Chairman as well as committee heads or there wont be a convention. Please stress this to your club members. We are mailing 2000 invitations and flyers to square dance organizations and callers inviting them to come to Hawaii for the convention. 5. Correspondence: a. A formal invitation was received from the Rainbeaus & Belles to hold the March 99 Federation Meeting during the St. Patricks Day Festival. After intense discussion, a motion was made, seconded, and carried to decline the invitation. The principle burden is the personal expenses of the Federation Board of Directors to attend off island events. Federation meetings are currently held on Maui in the spring (during the Maui No Ka Oi) and on the Big Island in the fall (during the Hotfoot Stomp). Federation Board Members will be encouraged to attend all festivals in the state whenever possible. 6. Old Business: a. Hilton Turntable sent to manufacturer for refurbishment estimate. Refurbishment would cost $370 -$470; $320 is the average. It would have a $550 value after overhaul. Or it would have a $275 trade-in value if we want to get a new one. After a brief discussion on the pros & cons of renting a turntable vs. purchasing or refurbishing ours, the decision was made to table action until rental costs can be determined and purchase information is received. b. Revised Bylaws: Still pending Chairmans review of May inputs. c. September National Square Dance Month 1) Chairmans Letter Anne Zapotocky will contact June about a square dance "proclamation" from the governor along with a press write-up. 2) Club activities: a) The APDs will be performing a demo during the Halsey Center open house on Aug 22nd. b) Andy Scott (Tuesday nights), Norm Hangman (Friday nights), and Bob Keller (Tuesday nights) are expected to hold a class for beginners. c) Ken Jordan will be the media spokesman for morning T.V. spots and will talk about the history of square dancing in Hawaii. d) Anne Morgan will contact the Ala Moana, Windward, and Pearlridge malls about performing demos. Ala Moana is conformed for Sept. 6th 2PM and Windward Mall is Sept. 20th at 3PM. e) Tenderfoot Stomp will be held Thursday, Sep 24th at Ala Wai Palladium Ballroom. Dave Lemon will do the flyers and information sheets. 3) Gene Gelfo and Dotty Angel have volunteered to head the convention badge committee. d. Hawaii State Dance Costumes: Poll results The question brought up was "Are you in favor of adopting a standard color scheme/pattern as a Hawaii State costume? Purchase and wear are optional. The decision was made to adopt state colors after polling all federation clubs. Non-committal or no response was considered a yes-vote. Now we need you to take back to your clubs a request for nominations of color & fabric design/pattern, i.e. Hawaiian print. We would like all nominations by the October meeting and will select from the nominations to ask clubs for a final selection. Please stress to your members that this does NOT mean you must have/purchase an outfit. This is on a voluntary basis only. e. Royal Aloha Badge we are looking for someone to take over the job of getting the badge. Please let David Lemon know if you are interested. 7. New Business: a. Year 2000 Convention - Special Planning Activities - Slogans looking for a Chairman, ideas, and recommendations for this End of Millenium convention. Please contact Dave Lemon with your ideas. b. A caller from England will be in Hawaii from Aug 26th through Sep 3rd and would like to call for us. Information was mailed out to him on Aug 11th and we are awaiting a response. 8. Club Reports/Events: Reminder written notes are requested to ensure accuracy. a. Federation Potluck Picnic/Beach Party & Dance will be at Bellows AFS "B" Pavilion on August 16th from 11:00 a.m. to 4:00 p.m. A vehicle DoD Decal is required for base access or contact Andy Scott at 254-2333 to register your name with gate guards. b. Mauna Kea Roundup is a "GO". Deadlines are extended to August 27th for meal orders. See Flyer Get the word out! Encourage attendance. September 11 13th. c. Tenderfoot Stomp. September 24th, Ala Wai Golf Course. Ken Jordan and Norm Hangman are the callers. Need angels. Bring puu puus. 7:30 9:30 p.m. Contact Dave at 456-8465. d. Square Wheelers are having their anniversary dance, Sunday August 23rd, Ala Wai Golf Course. e. Pali Twirlers will be hosting a Halloween dance at the Palladium on October 25th. f. Andy Scotts beginner classes will be held at the Windward Adult School. Registration starts Aug 17th and classes begin Sep 21st. Cost is $35 for 10 weeks. Classes are 2 hrs long. 9. Next Meeting: The next meeting of the federation will be held Sunday September 6th at the Kahala Recreation Center (4:30 PM) due to the Mauna Kea Roundup the following week. 10.
