Subj: October ’98 Federation Meeting Minutes

The October 1998 Federation Meeting was convened at 4:35 p.m. on Oct 11th, 1998 at the Kahala Community Center.

1. Attendance: The Federation Chairman, Vice Chairman, Treasurer, and Secretary were in attendance. The following clubs were represented: Aloha Paradise Dancers, Hayseeds, Diamond Heads & Sides, Tsunamis, Pali Twirlers, and Square Wheelers.

a. A total of 12 Federation members and guests were in attendance.

b. The Chairman opened the meeting and welcomed everyone. From the Chairman,

"As most of you know, we all lost a caller and good friend this month. Ray Porter was an excellent dancer, a maturing caller, and above all else, a true friend to all who knew him. We will miss his presence among us but remember his companionship for many years to come. Fair winds, Ray.

I would also like to publicly thank Robert Keller and Ken Jordan for stepping in and helping Michiyo Porter in her time of need. Their selfless efforts in coordinating the Memorial Service and insuring that our square dance community was kept informed were greatly appreciated. The Masons and the Air Force also contributed to appropriately honoring Ray in the memorial service.

It was also noted that our clubs turned out in mass to pay tribute to Ray. It was a true reflection of our "o’hana". Thank you all for joining together to honor our friend."

2. Minutes: The minutes for the September 1998 Regular Meeting were reviewed. Corrections as follows: add Pali Twirlers to attendance; delete Ken Jordan in para. 8c; delete sentence beginning "With some exceptions, … in para. 4d. Typographical errors were also noted. The minutes were accepted as corrected.

3. Treasurer’s Report: The Treasurer’s report was distributed for review. The balance was $693.90 in checking and $2,755.57 in savings. Noted for the record was one check received for convention registration in the amount of $809 didn’t clear, causing a negative balance with some checks not clearing until corrected. The Treasurer’s report was accepted subject to audit.

4. Committees: Each Committee Chairperson present gave a brief outline of their duties and progress.

a. Advertising – Anne Todd is now heading the advertising committee.

b. Social Calendar – No inputs were received for the social calendar.

c. Convention – copies of the convention budget and registration list were presented.

  1. Committee volunteers are as follows: Chairman – Dave Lemon (acting); Decorations – Janet Granich; Program Schedule – Andy Scott; Program Book – Bonnie Dotter; Vendors – Kim Akagi; Packets – Henry Staehle; Mailing Coordinator – Pat Murphy.
  2. All featured callers and cuers confirmed: Bob Rollins (OK); Monte Heckler (OK); Dave Hass (CT); Brian Hotchkies (AU); Stan Burdick (NY); Tony Nevision (CA); Tim & Nana Eum (VA), Pris Collins (VA).
  3. Flyer Mailing: 2,028 US Callers; 156 Foreign Callers; 106 Domestic Organizations; 159 National Directory Clubs/Federations. Advertising is complete.

5. Correspondence:

  1. Letter received from A.C. Holland, et al. from Hilo, requesting a review of convention caller lineup to include Local Callers for the State Convention. Meeting discussion centered on the ’98 Convention as follows: 14 local callers/cuers participated in ’98 Thursday program; 12 out-of-state in ’98 Friday/Saturday programs – 5 were featured; 17 locals/visitors were paid at least $25 each. The Board of Directors supported the plan for the ’99 Convention, trail-in events are featuring local callers – the Convention will use National Level Callers. Encourage everyone to support/dance with our local callers at festivals held during the year.

6. Old Business:

a. Revised Bylaws: Still pending Chairman’s review of May inputs.

b. September – National Square Dance Month

  1. Results - one postcard and seven students on Oahu. No information from neighboring islands.
  2. Club activities – for the most part, clubs did not actively support this effort with special events or club activities. No nominations for group activities or events were received. Andy Scott’s class at the school fell through. Only class on Oahu currently active is Friday night at the Ala Wai Community Center.
  3. Challenge to ALL for a year round project to promote Square Dancing. Help promote your entertainment by actively recruiting newcomers and ex-dancers.

c. Hawaii State Dance Costumes: two color schemes/patterns were nominated – Royal Hawaiian Red with Gold Hibiscus Flower and Royal Blue and White (photos with pertinent information sent to club presidents). Material is nominated as the standard for Hawaii Dance Costumes for special events, festivals or conventions. Wear is optional at all times. Styling and design of outfits is dancer’s choice. Please survey your club and vote for either the Red or Blue color and pattern. The Federation Board must receive the club majority vote before December 13th, 1998.

d. Royal Aloha Badge – we are still looking for someone to take over the job of getting the badge. Please let David Lemon know if you are interested.

e. Year 2000 Convention - Special Planning – Activities - Slogans – still looking for a Chairman, ideas, and recommendations for this End of Millenium convention. Please contact Dave Lemon with your ideas. Cut-off is December 1998. A suggestion was made not to have a year 2000 convention, but plan to go to one mainland convention en masse.

f. Memories Party – Looking for a club to host this. Could be a dinner or picnic. Need a location. Memorabilia (photo albums, keepsake items, etc.) to be supplied by guests. Dancing not required.

7. New Business: Questions from APD club were covered. No other new business.

8. Club Reports/Events: Reminder – written notes are requested to ensure accuracy.

  1. Square Wheelers Hobo Dance is Oct 12th. Their Christmas party brunch will be at the Hale Koa Dec 13th. Toys for Tots Dance also Dec 13th.
  2. Pali Twirlers annual Demo Dance at the State Mental hospital is Oct 21st with Andy Scott as caller. They will also be hosting their Halloween dance at the Palladium on October 25th.
  3. Hayseed’s Halloween Dance at the Bandstand Oct 31st.
  1. Senior’s Fun Night at the Arcadia Retirement Home, Nov 10th.
  2. Hot Foot Stomp is Nov 20th, 21st, and 22nd at KMC featuring Naaman Morehouse and Freddie Loveless. Cost is $25 for the weekend; contact Robert Kovacs. Billeting reservations are made through KMC. Encourage attendance – Mauna Kea Roundup attendance was poor.
  3. Tsunamis will co-host caller Ben Goldberg with Maui Mixers Apr 1st, Slewfoot Promenaders Apr 2nd, TBD Apr 3rd, Oahu TBD Apr 4th and 5th.
  4. Encourage attendance and registration for the ’99 Convention. No other club input.

9. Next Meeting: The next meeting of the federation will be held Sunday November 8th at the Kahala Recreation Center (4:30 PM). The annual Big Island meeting will be held at the Hot Foot Stomp on November 21st.

10. Meeting was adjourned at approximately 5:50 p.m.
