Subj: December ’98 Federation Meeting Minutes

The December 1998 Federation Meeting was convened at 4:35 p.m. on Dec 13th, 1998 at the Kahala Community Center.

1. Attendance: The Federation Chairman, Treasurer, and Secretary were in attendance. The following clubs were represented: Aloha Paradise Dancers, Hayseeds, Diamond Heads & Sides, Pali Twirlers, and Square Wheelers.

a. A total of 10 Federation members and guests were in attendance.

b. The Chairman opened the meeting and welcomed everyone.

2. Minutes: The minutes for the November 1998 Regular Meeting were reviewed. No corrections were noted and the minutes were accepted as presented.

3. Treasurer’s Report: The Treasurer’s report was distributed for review. The balance was $9,747.11 in checking and $2,755.57 in savings for a total of $12,522.68. Funds held in escrow for club convention activities total $7,022.30 for a balance of $5,500.38. The Treasurer’s Report was accepted as presented.

4. Committees: Committee Chairpersons present gave a brief outline of their duties and progress.

a. Advertising – Nothing to present.

b. Social Calendar – Nothing to present.

c. Convention

1. Committee volunteers are as follows: Chairman – Dave Lemon; Bus Coordinator – Tim Voss (new); Caller Hospitality – Don & Joanne McNeil; Decorations – Janet Granich; Greeters – Jim & Esther Gresham; Hall Services Coordinator – ????; Fun Badges/Dance Tips – Tim Voss; Mailing Coordinator – Pat Murphy; Packets/Badges/Ribbons – Henry Staehle; Program Schedule – Andy Scott; Program Book – Bonnie Dotter; Registration – Gil Gilbert; Vendors – Kim Akagi; Security Coordinator - ???.

2. Japan Travel Bureau has booked 12 dancers

3. People’s Republic of China Square Dance Organization is sponsoring 35 dancers. Still working visas, etc.

4. Hilo Hattie will host a free Fashion Show at Beachcomber Hotel. Followed by dinner, cocktails and the Magic Show. Option to attend just the Magic of Polynesia Show.


5. Registration is 161 confirmed + 35 pending. Dec ’97 = 157.

6. Big Island Dance on Jan 24th is canceled – only 4 reservations were received.

7. Round Dance Party Wednesday, Jan 27th from 7:30 to 9:30 PM at the Palladium (note: the Magic Show ends at 7:30 PM).

8. Decorating Party is Thursday, Jan 28th beginning at 2:00 PM – flowers, greens, and help is needed. Please bring your Club Banners with suction cups (provided if you don’t have them).

9. Packet Stuffing Party is Saturday, Jan 16th, 10:00 AM at the Schneiderman’s in Kailua. Pali Twirlers are hosting as a potluck/pool party.

5. Correspondence:

a. 50th National Convention Committee (2001 – Anaheim CA) is requesting support for its Commemorative Stamp petition.

b. IRS Audit of 1997 Federal Tax Return – error in reporting income tax due - $282.50. There is a $100.00 penalty and $20.93 interest charge for a total due of $403.43.

6. Old Business:

a. Revised Bylaws: Still pending Chairman’s review of May inputs.

b. All clubs voting selected Royal Blue. Material available from Kim Akagi. Will wear colors for Convention Grand March on Saturday night.

c. Year 2000 Convention - Special Planning – Activities – Slogans. Some ideas were presented – nothing significant. Need INPUT.

d. Nominations for Federation Officers due for Jan 30th Annual meeting. Need willing volunteers. Contact Tim Voss.

7. New Business:

a. Royal Aloha Badge: two conventions in 3 years; Hawaii – two special dances in 3 years; Maui – one special dance in 3 years. Requires event officer’s signature. Big Island suggested we authorize self-certification and grandfather dates from prior years. Motion was made and seconded to self certify and backdate. After discussion to clarify that recipient must go to all three islands, the motion was carried.

b. Featured Convention Callers/Cuers are available for Trail-in/out events. See list. Clubs should contact the caller/cuer directly.

8. Club Reports/Events: Reminder – written notes are requested to ensure accuracy.

a. St. Patrick’s Day Festival, Hilo. March 12 – 14th 1999.

b. Tsunamis host Bob Goldberg from California; Maui April 1st, Hilo April 2nd, April 3 – 5th Oahu.

c. 41st California State Convention. Sacramento, CA. April 16 – 18 1999.

d. 48th National Convention, Indianapolis, IN. Jun 23 – 26 1999.

e. USA West Convention: Las Vegas, NV. Aug 11- 14 1999.

f. Bill Peters is moving to Maui. Congratulations Maui!!!

g. New USDA Web Page at http://www.square-dancing.com/USAWest/NV

h. APD will be dark Dec 24th. Anniversary dance is Feb 24th. Dec 31st there will be a dance at Halsey. Bring pupus.

i. Diamond Heads ‘N Sides will have a Christmas potluck Dec 18th. Potluck starts at 6:00 PM; guests are welcome. New cuer – Dan and Allison Drumheller.

j. Square Wheelers Valentine’s Dance at the Palladium Feb 14th.

9. Next Meeting: The next meeting of the federation will be held Saturday, January 30th at 5:30 PM at the Ala Wai Paladium. This will be the Annual Meeting and election of officers. Regular January 10th is canceled.

10. Meeting was adjourned at 5:20 PM.
