APRIL '99 FEDERATION MEETING MINUTES
The April Federation Meeting was convened at 6:03 p.m., on Saturday, April 17, 1999,
during the Maui No Ka Oi Festival, in Wailuku, Maui. The chair welcomed those
present and introduced the Federation officers. He discussed the composition of the
Federation and noted that all members of affiliated clubs comprise the membership, and the
officers serve only as administrators.
1. Attendance: Federation Chair David Lemon, Vice Chair Tim Voss, and Secretary Janet
Granich were in attendance. The following clubs were represented: Hayseeds, Hi Hopes,
Hi-Lo Plus, Lava Klinkers, Maui Mixers, Pali Twirlers, Rainbeaus & Belles, Slewfoot
Promenaders, Tsunamis, and Up Country Squares.
2. Minutes: The minutes of the March 1999 meeting were reviewed. No corrections were
noted and the minutes were accepted as presented.
3. Treasurer's Report: The annual Treasurer's Report for fiscal year ending January 31,
1999, was distributed for information. The Treasurer's report for March was presented for
review. The balance is $401.03 in checking and $2,803.92 in savings for a total of
$3,204.95. The Chair noted that the budget for fixed expenses for the year is
approximately $1,800, leaving a balance of only $1404 to finance the HI2K Convention and
for emergency reserves. A revised 1999 Convention Report and itemized transaction report
were also distributed for review. The Treasurer's report was accepted as presented.
4. Club Representatives: Some clubs still have not submitted the names of their
representatives in writing. All clubs are requested to revalidate and submit the names of
their representatives and alternates in writing to the Board of Directors, and to notify
them of any changes made during the year. E-mail addresses of club representatives and
those requesting copies of minutes need to be sent to David at dlemon@inix.com and Janet
at janetg@inix.com.
5. Committees: The Federation is still seeking volunteers to chair the Advertising and
Recruiting Committees. Social Calendar chair Henry Staehle needs input from clubs
regarding their events for the next two years.
6. Correspondence: A letter from the Chairman, dated 16 April 1999 and addressed to Oahu
clubs on the subject of Convention Income, was briefly discussed and made available for
perusal.
7. Old Business:
a. 1999 Convention: There were 308 registrants, which included 46 non-paying callers and
their taws. It is recommended that in the future only participating callers and those
bringing 8 or more dancers to the convention be admitted free. The 24 Chinese dancers
participated in all the events, and indicated that they would come again next year.
b. Revised Bylaws: Still pending. It was suggested that we obtain a legal review of the
amended bylaws before they are adopted.
c. USA West: Tim Voss reported on his attendance at the Biannual USA West Policy Board
meeting in Casper, Wyoming. Hawaii is one of the sites being considered as an option for
the August 2002 convention. A projected attendance of between 1800 and 2000 suggests the
Blaisdell Center as a possible location if Hawaii should be selected. Responsibility for
producing the convention would be shared between participating States.
8. New Business:
a. National Square Dance Month: September is National Square Dance
Month. It is the time when we should be generating advertisements and media interest in
Square Dancing to attract the public to our activity. Is your club actively working to
recruit new dancers? Free newspaper and radio/TV airtime is available to those willing to
work on the objective. A dance program similar to that used with the Chinese dancers, who
picked up simple calls almost immediately, was suggested. Clubs are asked to generate
recruiting programs and publicity advertising your club's activities in September. Share
your plans through the Federation.
b. HI-2K Planning: David announced that HI-2K (Hawaii 2000) has been
adopted as the slogan for the 2000 Convention and that in the absence of other volunteers
he has agreed to chair it. He submitted a draft program plan, which anticipates only 300
attendees. The 1999 convention had been budgeted for 500 dancers and fell short by
approximately 200 dancers.
9. Club Reports: (Note: Clubs are urged to send information in writing to ensure
accuracy).
a. Up-Country Squares: Maui No Ka Oi dances are now being advertised in the Square Dance
Magazine. The next dance will be held April 14-16, 2000.
b. Diamond Heads 'N Sides: Spring Fling dance will be held at the Ala Wai Clubhouse April
23.
c. Tsunamis: Tim Voss thanked all those who participated in the Tsunamis successful dance,
featuring Ben Goldberg in April.

10. Adjournment: The meeting was adjourned at 6:50 p.m. The next meeting is scheduled for
May 9, 1999, at 4:30 p.m. at the Kahala Recreation Center.
