Chairman’s Notes: I recently had an opportunity to meet with one of the Oahu clubs for an in-depth discussion of Federation Plans and Budget issues. This opportunity to share ideas and explore solutions was greatly appreciated and very productive. Pooling our resources (mental, physical, and financial) and collectively applying a little bit of extra effort is how we make progress in improving Square Dance activities in the State. I especially thank those members who contribute a little extra, thought, word, and deed to our quest.

We lost another Club last month due to dwindling membership and other’s are rapidly reaching the point where they cannot sustain operations. Creating a renewed interest in Square Dancing and recruiting new dancers is of paramount importance. Consolidation of our small clubs will soon be necessary to form more than one square. With our decreasing membership, we can not afford to sit back and "let George do it". There are not enough George’s left in our ranks! Reach your hand out to a neighbor or friend and invite them to visit your club dance. Welcome them to one of your squares and spend a few moments of your evening introducing them to a set of basic calls and the warmth and friendship of our membership. If we each bring in one new recruit a year, we can save Square Dancing in Hawaii. Can you do your part? Best regards, Dave.

JUNE ’99 FEDERATION MEETING MINUTES

The June Federation Meeting was convened at 3:00 p.m., on June 12, 1999, at the Kahala Recreation Center.

1. Attendance: Federation Chairman, Vice Chairman, Secretary, and Treasurer. The following clubs were represented: Hayseeds, Pali Twirlers, Square Wheelers and Tsunamis.

2. Minutes: The minutes of the May 1999 Meeting were reviewed. No corrections were noted and the minutes were accepted as presented

3. Treasurer’s Report: The Treasurer’s report for June was distributed for review. The balance was $1,480.29 in checking and $2,803.92 in savings for a total of $4,284.21. The significant gain of $856 since May ’99 is a result of donations from clubs and individuals contributing to the HI-2K Festival Fund. The Chairman expressed appreciation for the contributions. The Treasurer’s Report was accepted as submitted.

4. Club Representatives: Rosters for all clubs except the Lava Klinkers have been received. Bill Yoeman, their caller, has responded to the secretary’s letter by furnishing the name of the Club President and offering to pass along the letter to him.

5. Committee Reports: Committee chairpersons presented a brief outline of their progress since the last meeting:

  1. Advertising and Recruiting: Chairs are needed for these two committees.
  2. Social Calendar: Henry Staehle reported that the Social Calendar has been completed and two copies will be mailed to each club. This calendar shows events through January 2001 so some of the projected events may not be accurate. He urged the clubs to keep him apprised of events as they are confirmed so that the calendar may be kept up to date.
  3. HI-2K Festival: Members of the Executive Committee were polled and have agreed that "festival" more aptly describes our "convention" and implies a smaller scope of activity for dances on Oahu, similar to the dances held on the neighbor islands. Bob Rollins has agreed to return again, and Bob Fisk from Mesa AZ has agreed to call. One additional Caller will be solicited. Cuers Rey Garza and Joyce Kammerer, who will be here for a cruise, have also agreed to cue. 3,000 flyers and 2,000 registration forms will be distributed at the National and USA West Conventions by Oahu attendees. At the present time, we are significantly below budget projections.

6. Correspondence:

  1. Letter from Up Country Squares dated June 2, 1999, submitting notice that the club disbanded June 1st due to small membership and low attendance.
  2. Festival profit sharing agreement: All Oahu clubs participating in special events for the festival have signed the profit sharing agreement.

7. Old Business:

  1. Revised Bylaws: Still pending.
  2. 1999 Convention rebates: All Oahu clubs participating in 1999 Convention special events have donated a portion of their profits to meet Federation expenses.

8. New Business:

  1. Square Dance Recruiting Month (September): The Ala Wai Ballroom has been reserved for the night of September 22 for a kick-off event for new dancers. It is hoped that all clubs will participate in the promotion and that members will urge friends and neighbors to attend. Possible sources of new dancers include social clubs, schools and churches. Ideas and suggestions are solicited.
  2. Perth 2000: So far, three couples plan to attend this Australian convention. Negotiations are pending with Air New Zealand and interested dancers should contact David Lemon regarding a group tour.
  1. Federation Web Site: The Federation Web site and the HI2K Festival have been registered with the Hawaii Visitors Bureau: http://www.gohawaii.com, Yahoo, and the Square Dance Web.
  2. Tax Exemption Application: Bob Keller has offered to process a tax exemption application for the Federation and it is recommended that all clubs do the same.
  3. Oahu Housing Committee: An Oahu Housing Chair is needed. It costs outer island dancers approximately $250 to attend Oahu events and it is hoped that by matching people who have spare bedrooms with neighbor island dancers, we can reduce their costs, and more people will be encouraged to attend the State Festival. Only 26 neighbor island dancers (10% of the total) attended last year’s convention.

9. Club Reports/Events: Future events are listed on the Hot Line and shown on the Social Calendar. (Reminder: written notes are requested to ensure accuracy).

  1. 48th National Convention, Indianapolis, IN, June 23-26, 1999.
  2. Pali Twirlers 5th of July Kailua Parade and Pool/Pot Luck Party. Everyone is urged to attend the parade so as to make a good showing of square dancers. Meeting time and place will be posted on the hotline.
  3. USA West Convention, Las Vegas, NV, Aug. 11-14, 1999.
  4. Square Wheelers: New President is Mel Pederson.
  5. Hayseeds: Dark on June 26. Caller Norman Hangman is considering establishing a beginner’s class in Red Hill Military Housing. Hayseeds will attend the open house party on August 14th. Further details will be forthcoming.

10. Adjournment: The meeting was adjourned at 3:40 p.m.
