FEBRUARY 22, 2003, FEDERATION MINUTES

The February meeting was convened on Saturday, February 22, 2003 at 6:33 p.m., at the home of Treasurer Kim Akagi.

1.  Attendance:  Federation Chairman, Vice Chairman, Treasurer, Secretary, and Festival Registrar.  The following clubs were represented:  Pali Twirlers, Square Wheelers and Hayseeds.

2.  Minutes:  The minutes of the December 2002 meeting were accepted as submitted. 

3.  Treasurer's Report:  The opening balance as of 2/1/03 was $1,422.03; income for the year was $2,020.00 and expenses were $29.47, leaving a balance on hand as of this date of $3,412.56.  This figure includes a $2,000 loan from D. Lemon to avoid bank service charges, which are imposed if the balance falls below $3,000. Club dues for 2003 have not yet been collected.  A cash flow report and Federation Check Register report were also distributed.  Dave noted that all Festival expenses have been paid and the 2003 liability insurance of $1,125 has been prepaid in the 2002 budget year.  In 2002, Tthe Federation spent $1,444 more than its income for the year.

4.  Committee Reports

      a.   2003 Hawaii State Festival:

           (1) Chairman's Report: David reported that profit from the Festival amounted to only $166.  However, it was generally agreed that the Festival itself was a big success, earned many kudos, and that everyone had a great time.

           (3) Registrar's Report:  Henry reported that there were 160 prepaid registrants and 45 walk-in's, for a total of 205 attendees, somewhat better than last year's festival. 

5.  Correspondence:  David reported that a "budget letter" was being sent to all club presidents asking that each club contribute $10 for each member on its roles as of the end of February. 

6.  Old Business:  None

7.  New Business:

      a.  2004 Festival:  Dave said that the dates for the 2004 Festival would be January 29 through 31, 2004.  He said that he has reserved the hall for those dates and the rest of the club activities would be up to the individual clubs.  Wednesday night has also been reserved for a club dance night dance.

     b.  2004 Festival callers and cuers:  Due to budget concerns, the Board recommends callers and cuers  be cut back to one each and only one hall will be used.  It was suggested that Steve Sullivan be offered the featured caller position, but nominations are still open if any Federation member has a suggestion.

8.  Club Reports and Activities: Future events are listed on the Web Page, recorded on the Hot Line, and printed in the Coming Events flyer.

     a.  Pali Twirlers:  Nothing to report.

     b.  Square Wheelers and Hayseeds:  New classes will be starting Wednesday, March 5th at the Ala Wai Community Park Recreation Center on Kapiolani Blvd. Ballroom from 7:30 – 9:30 p.m..  Please tell your friends and try to participate as an angel. 

9.  Next Meeting:  The next meeting will be held on Sunday, March 30 at 5:30 p.m. at the Ala Wai Golf Course Ballroom.

10. Adjournment:  The meeting was adjourned at 7:15 p.m.
