FEBRUARY 29, 2004 MEETING MINUTES

The meeting was convened at 6:00 pm on Sunday, February 29, 2004, at the
Ala Wai Palladium Ballroom.

1.  Attendance:  Federation Chairman Buster Forbes, Vice Chairman Roger Beaulieu, Treasurer Brenda Powell, Secretary Judy Bauckham.  The following clubs were represented:  Square Wheelers and Hayseeds by David Lemon, Pali Twirlers by Janet Granich and Tsunamis & USA West by Tim Voss.  Also in attendance were Norma Forbes, Henry Staehle, Kim Akagi, and Melissa Voss.

 2.  Minutes:  The Chairman asked for additions or corrections to the minutes of the January 31, 2004 meeting.  There being none, the minutes were accepted as submitted.

3.  Treasurer’s Report:  The Treasurer’s report was distributed for review.  The opening balance as of 2/1/04 was $4,603.16.  Income for the month was $1,863.89 and expenses were $1,069.25.  The balance as of 2/29/04 is $5,397.80.  The major expense during the month of February was the annual insurance payment.  The Treasurer’s report was accepted as submitted.

4.  Committee Reports:

            a.  Hawaii State Festival 2004:

                        1)  Registrar’s Report:  Henry reported that 258 dancers were registered for the Festival.  Attendance was close to double that of last year.  The Festival registrations brought in revenue of $6,160.  The sale of festival badges, date bars and rover badges brought in gross revenue of $555.  Attendance at the other Festival sponsored events were as follows:

K-Bay Luau                             149
            Wednesday Trail In                    82
            Whale Watch Cruise                  46
            Sunday Trial out                         40

                         2)  Chairman’s Report: David reported total registration receipts (including the Club escrow dollars) at $13,674.  The Federation received additional income of $1,004 from the three clubs that sponsored festival events. 

The Festival attendees included dancers with three tour groups coming from North Carolina, Ohio, southern California and Japan.  Advertising for the Festival was promoted via a distribution of over 2,000 flyers, ads in three square dance publications, free “announcement” web sites and bulletin boards.

All of the Festival organizers were congratulated on a successful event and thanked for their hard work and many hours contributed. 

5.  Correspondence:  None

6.  Old Business:  The liability insurance policy was renewed with J.C. Connors, Insurance for an annual premium of $1,039.78.

7.  New Business: 

a.       The Clubs were requested to review and nominate 2004 Federation representatives.

b.      It was approved to sponsor and host the 40th Aloha State Square & Round Dance Festival on Oahu which will be held in January 25-30 2005.

c.       The events and activities surrounding the 2005 Festival will need Club hosts.  The Clubs will need to confirm their sponsorship of an event by the March meeting.  The Federation welcomes the Clubs to present new ideas for activities, including neighbor island events.

d.      For the past few years, the Federation has asked the Clubs to pay 30% of the revenues derived from Festival related activities to the Federation.  These revenues are used to promote the Festival through advertising and other administrative expenses.  A discussion was held and the Board approved to continue this policy for activities connected with the 2005 Festival.

e.       The Federation is seeking nominations for a Chairman for the 2005 Festival.  Henry Staehle volunteered to continue as the Registrar for the 2005 Festival.

f.        The Board agreed to hold Federation Meetings on the last Sunday of each month at 6:00 pm at the Ala Wai Palladium Ballroom.  However, due to conflicting schedules, the March meeting will be held on March 21 at 6:00 pm.

g.       The Board had previously agreed to host the 2006 USA West Convention in Honolulu.  The contract was signed.  The dates of the convention are August 6 – 9, 2006.

8.  Club Reports:

a.       Square Wheelers and Hayseeds – Dave Lemon reported that there are two square dance classes taking place at the Ala Wai on Wednesday evenings.  The “senior” class takes place from 6:30 to 8:00 and the “freshman” class is held from 8:00 to 9:30. 

b.      Pali Twirlers –Janet Granich reported a successful Valentine’s Ice Cream Social. 

c.       Tsunamis – Tim Voss reported that the Whale Watch Cruise was well attended and the Club is planning to sponsor it again for next year’s Festival.

9.  The meeting was adjourned at 6:35 pm.
