THESE MINUTES WERE APPROVED AT THE FEDERATION MEETING ON MARCH 2, 2008

 

JANUARY 13, 2008, MEETING MINUTES

The meeting of the Hawaii Federation of Square Dance Clubs was convened at 5:32 p.m., Sunday, January 13, 2008, at the Ala Wai Clubhouse.

1.         ATTENDANCE:  Officers: Co-chairman Henry Staehle, Vice Chairman, Treasurer, and Secretary.  The following clubs were represented:  Pali Twirlers, Square Wheelers, Hayseeds, and Paradise Shufflers.    

 

2.         MINUTES:  Co-Chairman Henry Staehle asked for additions or corrections to the minutes of the meetings of October 14, 2007 and November 18, 2007. There being none, the minutes were approved as presented.   

 

3.         TREASURER’S REPORT:  The Treasurer reported that of December 31, 2007, the balance on hand was $17,667.30. Last year’s comparative balance was $16,604.79, a difference of approximately $800, due to 2007’s increased registration. The Treasurer’s report was accepted as presented.

 

4.         REGISTRAR/CHAIRMAN’S REPORT: Henry reported that as of this date 165 people have signed up for the Festival, compared to 137 last year. It was noted that last year 50 people registered on the last day. Work is in progress on obtaining the ribbons, badges, and inserts for the packets and a table will be set up at the Outrigger Hotel on the Monday prior to the Festival for pick-up by those who will be attending the luau on Tuesday. Programs will be printed this week.  A volunteer list of duties has been prepared and distributed.

 

5.         CORRESPONDENCE:   (a) The Festival caller contract was received from Dan Preedy (b) An e-mail message was received from Stan Weeks of the Paradise Promenades on Kauai, asking that their club standing be dropped.

           

6.         OLD BUSINESS:

            a. Stage backdrop/State signs: Terry is unable to supervise the raising of the backdrop this year and wants to relinquish the State signs for the Grand March. Since John Gallagher has helped Terry in the past he should be contacted to see if he would be willing to supervise the set up and take down of the backdrop. Registrations must also be checked to make sure that all States/countries are represented and new signs printed. David Jenkins volunteered to make the necessary signs. Duane should be contacted about the key for access to the stage for Ballroom No. 2.

            b.  Ballroom contract:  Our contract with the City allows us to take possession of the ballrooms at 4:30 on Thursday, but it is hoped that they may be available to decorate at 4:00 when the previous occupants leave.  Decorating materials should be available shortly after 4:15 p.m.

            c.  Community Dance:  David Jenkins is covering publicity for the community dance, concentrating on Country Music radio stations and websites.  Dave Fullaway will officiate as caller.

           

7.         APPOINTMENT OF NOMINATING COMMITTEE: Election of officers will be held at the Annual Meeting on Saturday, January 26. Offices up for election are Vice Chairman and Secretary. Those present were asked to contact members of their clubs who might be interested in serving in these offices.

 

8.         NEXT MEETING:  The next meeting will be the Annual Meeting, to be held in Ballroom No. 2 on Saturday, January 26, 2008, at 5:30 p.m.

 

9.       ADJOURNMENT:  The meeting was adjourned at 6:15 p.m
