                          JUNE 15, 2006, MEETING MINUTES

The meeting was convened at 6:15 p.m., Thursday, June 15, 2006 at Pohai Nani.

1.         ATTENDANCE:  Officers: Co-chairmen, Vice Chairman, Treasurer, and Festival Registrar.  The following clubs were represented: Pali Twirlers, Square Wheelers, Hayseeds and Tsunamis.  Guests: David Lemon, Buster Forbes, and Kim Akagi

2.         MINUTES:  Co-Chairman Henry Staehle asked for additions or corrections to the minutes of the March 2, 2006, meeting.  There being none, the minutes were approved as presented.   

3.         TREASURER’S REPORT:  The Treasurer reported that as of May 31, 2006, the Federation’s net worth is $11,981.21.  The balance on hand as of May 31, 2005, was $8,691.04.  Dues have now been received from all clubs, except the Paradise Dancers on Kauai.  The Treasurer’s Report was accepted as presented.

4.         CHAIRMAN'S REPORT:  Henry Staehle said that so far no 2007 Festival Chairman has been appointed and asked for recommendations.  There were no volunteers and after discussion, Henry was asked to assume that task.  There being no other choice, he accepted.  Dan Seeman offered to help as much as possible and the others agreed that they would help.

5.         COMMITTEE REPORTS: 

a.  Festival Chairman and Registrar’s Report:  Henry reported that so far only 5 registrations have been received, all from Australia.  There were 11 registrations this time last year.  He noted that forms are available at the weekly dances and asked board members to sign up as soon as possible and also to urge the new members to do so.

6.         CORRESPONDENCE:  Henry reported that he had received the signed contracts back from caller John Kephardt and cuers, Larry Sperry and Bill Maisch.  Willie reported that she had been receiving some e-mails and had answered them as best she could; however, it was noted that correspondence should be shared and forwarded to co-chairmen.

7.         OLD BUSINESS:

            a.  Budget approval:  Dues collected now cover administrative fixed expenses for the year and it was noted that the Festival portion of the budget had been agreed to at the last meeting.  After discussion, it was moved, seconded and unanimously carried to approve the 2006-07 budget as presented.

            b.  National Convention Hawaii Table:  Henry reported that the HVCB shipment for the Hawaii Table is on its way and three couples have agreed to help man it.  David has agreed to set up the display table (for the last time) and be in charge.  He asked for the tracking number in case the shipment is lost.  Eight people are attending the Convention.

            c.  Web Page:  Buster Forbes has accepted responsibility for keeping the Web Page up-to-date.  He stressed the importance of being kept informed of each event or item in a timely manner and said that someone should be in charge of collecting the information and forwarding it to him.  Willie agreed to accept that responsibility.

            d.  USA West-Hawaii Convention:  Tim Voss reported that as of this date 407 dancers have registered for the USA West dance and the program has been finalized, with the fashion show to be held on Friday.  The new dancers will be given a special rate of $35 for the 3-night program and parking at the Ilikai will be $3.00 with validation.  When asked, he said that the Policy Board has a restriction against selling one-night only tickets.  After discussion, it was unanimously agreed that the Hawaii Federation should petition the Policy Board and ask them to make an exception to that rule by allowing local dancers to purchase tickets by the night.

8.         NEW BUSINESS

a.  Callers’ College and dance:  Arrangements previously made with the UH for a callers college, planned as a pre-USA West event, have been cancelled due to a lack of interest.  However, the caller/instructors for the event have agreed to hold a trail-in-dance at the Ala Wai Ballroom on the Tuesday preceding the Convention.  Barbara said that she had talked to Dan Drumheller and he has agreed to cue that evening provided he is able to get a flight out.  It was agreed that this will be a Federation dance.  After discussion, it was moved, seconded, and unanimously carried to charge $5.00 per dancer with ½ going to the Federation and ½ to the callers and cuers after expenses.  Treasurer Brenda offered to sit at the desk and collect the money.  Announcements and fliers need to be made as soon as possible and the Policy Board should be advised of our intention.  This information should also be placed on our and the USA West Web site.  The hall is already reserved from 6:30 to 9:30 and the dance will be open mic to all callers.  Henry will follow through by talking to Jerry about using his sound system.

b.  Federation Picnic:  The Federation picnic usually held in August was discussed.  Buster was asked to look into the availability of space at Bellows Field for a picnic the last two Saturdays in August or September.

9.         CLUB REPORTS AND ACTIVITIES

            a.  Square Wheelers:  Nothing to report except that David Lemon will be leaving for the mainland on Sunday.

            b.  Pali Twirlers:  The Pali Twirlers have invited the Manana new dancers to come out and participate in Plus workshops at Pohai Nani.

 10.         NEXT MEETING:  The next meeting will be held at the call of the Co-Chairmen.

 11.         ADJOURNMENT:  The meeting adjourned at 7:00 p.m.
