1.
ATTENDANCE:
Officers: Co-chairmen Henry Staehle and Wilma Seeman, Vice Chairman Barbara Tatsuguchi, Treasurer Brenda Powell, and Secretary Janet Granich. The following clubs were represented: Pali Twirlers, Square Wheelers and Hayseeds, and Paradise Shufflers.
2.
MINUTES:
Co-Chairman Henry Staehle asked for additions or corrections to the minutes of January 13, 2008. There being none, the minutes were approved as presented.
3.
TREASURER’S REPORT:
The Treasurer distributed reports for January 31 and February 29, 2008. The Federation’s net worth as of 2/29/08 is $13,796.97. Three clubs have paid dues so far. 2008 dues for all clubs are now owed. The Treasurer’s report was accepted as presented.
4.
REGISTRAR’S REPORT: Henry reported that 225 people registered for the Festival; 46 badges, 60 date bars and 14 Rover Badges were sold. 73 people attended the Luau with 50 taking the bus. 77 attended the Wednesday night dance and 48 attended the Sunday night dance. A total of $9,094 income was received before escrow accounts were paid. Most of the comments on the Festival were positive. Dave Jenkins remarked that one family in his club complained that one night of dancing had cost his family of seven $96. It was noted that those under 16 should have been admitted for half price and it was agreed to reimburse the family for any overpayment.
5.
CORRESPONDENCE: (a) An e-mail was received from Mike Doane recommending Lee Hailey of Arizona as a future festival caller and attaching his resume. (b) A request from the Salvation Army for a demo on August 1st was received. Dave Jenkins will organize the demo but will need some help from other clubs.
6.
OLD BUSINESS:
a.
Community Dance: David Jenkins reported that the Community Dance held
during the Festival was, in his opinion, worthwhile with five or six
people showing an interest in square dancing.
b.
Insurance: Irene Ferreira has quoted $942.43 to renew our insurance
policy vs. last year’s insurance cost of $1,018.84. It was unanimously
agreed to renew our insurance policy for $942.43.
c.
Club Dues and Rosters: The Tsunamis, Hi-Lo Plus, and Paradise
Promenaders are now inactive and the loss of their dues will need to be
covered by Festival income. The Lava Klinkers and Rainbeaus & Belles are
caller-run clubs and their caller, Bill Yoeman, has paid $20 for he and
his wife, which he considers a donation. It was noted that club rosters
should accompany dues.
7.
NEW BUSINESS:
a.
Appointment of Festival Chairman: Henry announced that John Fung has
agreed to accept the appointment of Festival Chairman. After discussion
it was moved, seconded and unanimously carried to accept John’s
appointment as Festival Chairman for the ensuing year. A list of the
duties of Festival Chairman was given to John and further explanations
will be forthcoming.
b.
Budget:
Henry distributed copies of the 2007-08 Budget and noted that
expenditures had stayed well within budget. He will prepare a similar
budget for 2008-09 based on income received from the 225 dancers who
attended the 2008 Festival. It was noted that there is a surplus in our
account, which could be used for publicity to promote the Festival and
square dancing in general. The suggestion was made that the Federation
underwrite the cost of sending some people (perhaps chosen at a raffle)
to the Hot Foot Stomp. Other suggestions were sending flyers to all
dancers who attended this year’s festival and subsidizing special dances.
c.
Callers and Cuers:
(1)
Special Dance: It was noted that Monk Moore calls each year at the Hotfoot Stomp and for a relatively small cost to us he would be willing to come to Oahu after the Hotfoot Stomp to call at a Federation-sponsored special dance. After discussion it was moved, seconded and unanimously carried to invite Monk Moore to call at a special Sunday night dance after the Hotfoot Stomp and to pay his expenses for the trip.
(2)
Contracts for Festival Callers and Cuers: Henry noted that it was agreed at the Annual Meeting to ask Dan Preedy and the cuers to return again next year. The cuers have agreed, as has Dan Preedy, but he said he would appreciate an increase in payment. Dan recommended Doug Davis and he has also agreed to call. Henry suggested paying the callers an additional $400, which would be the same amount as now paid to the cuers for their wives’ airfare. After discussion it was moved, seconded and unanimously carried to amend last year’s contracts for the callers and cuers by including a payment of $400 toward their travel expenses. It was noted that thought should be given to who we would want to invite to call at the 2010 Festival.
8.
CLUB REPORTS:
a.
Paradise Shufflers: Dave reported that the club had graduated six new dancers last night.
b.
Budget:
Square Wheelers: The Square Wheelers continue to dance on Sunday nights and have recently graduated a new class.
c.
Pali Twirlers: Barbara Tatsuguchi reported that the date of March 16 has been reserved for a special “March Madness” dance sponsored by the Pali Twirlers.
9.
NEXT MEETING:
The next meeting will be held at the call of the Co-Chairmen.
10.
ADJOURNMENT:
The meeting was adjourned at 6:00 p.m.
Respectfully submitted,
Janet L. Granich
Secretary
