NOVEMBER 18 2007, SPECIAL MEETING MINUTES

The Special Meeting was convened at 5:35 p.m., Sunday, November 18, 2007, at the Ala Wai Clubhouse for the purpose of finalizing the Festival program and workshops.

1.         ATTENDANCE:  Officers: Co-chairmen Henry Staehle and Wilma Seeman, Vice Chairman, Treasurer, and Secretary.  The following clubs were represented:  Pali Twirlers, Square Wheelers, Hayseeds, and Paradise Shufflers.    

 

2.         MINUTES:  This being a special meeting the minutes of the last meeting were not addressed.   

 

3.         TREASURER’S REPORT:   No Treasurer’s report was given.

 

4.         REGISTRAR’S REPORT:  Henry reported that as of this date 59 people have signed up for the Festival.  Last year at this time 50 people had registered.

 

5.         OLD BUSINESS:

            a. Program Preference Survey:  Results were tallied from a survey held to determine the preferences of dancers for various workshops (Intro to Plus, APD, Advanced, etc.)  Pleasing both square and round dancers in preparing the workshop schedule is difficult and an effort is being made to please the majority of respondents to the survey. Consideration is also being given to starting the workshops at 10:00 AM instead of 9:00 due to poor attendance last year at the early workshops.  A copy of the preliminary Workshop Schedule is attached hereto.

            b.  Dress for Workshops:  Dress for workshops will be informal.

            c. Community Dance:  Discussion was held on whether to host a community dance this year since last year’s community dance was poorly attended and no new dancers resulted from the effort.  After discussion David Jenkins, President of the Paradise Shufflers, indicated that the Paradise Shufflers would plan and host the dance.  Dave Fullaway, caller for the Maui Mixers and Hi Hopes, has volunteered to call for the community dance.

            d. Festival Job Descriptions:  A list of the jobs necessary to conduct a successful festival was distributed. Potential workers to fill the positions were discussed and it was agreed to place the forms on the tables to be filled out by the dancers starting in December. It was noted that Terry should be contacted concerning the stage backdrop and palm trees.  It was suggested that SJ be offered a free luau dinner if she will take responsibility for the bus for the Luau.

           

10.       ADJOURNMENT:  The meeting adjourned at 6:45 p.m
