THESE MINUTES WERE APPROVED AT THE FEDERATION MEETING ON JANUARY 13, 2008

 

OCTOBER 14, 2007, MEETING MINUTES

The meeting was convened at 6:00 p.m., Sunday, October 14, 2007, at the Ala Wai Ballroom.

1.         ATTENDANCE:  Officers: Co-chairmen Henry Staehle and Wilma Seeman, Vice Chairman, Treasurer, and Secretary.  The following clubs were represented:  Pali Twirlers, Square Wheelers, Hayseeds, and Paradise Shufflers.    

 

2.         MINUTES:  Co-Chairman Henry Staehle asked for additions or corrections to the minutes of the meeting of February 24, 2007. There being none, the minutes were approved as presented.   

 

3.         TREASURER’S REPORT:  The Treasurer reported that as of this date the balance on hand is $13,169.09. All dues have been paid.  However, Lava Klinkers and Slew Foot Promenaders on the Big Island are caller-run clubs and caller Bill Yoeman and his wife consider themselves the only two members.  $20 has been contributed on their behalf.  Income of $1250 from dues has not met the budget requirement for administrative costs of $1400. and the shortfall will have to come from Festival surplust. The Treasurer’s Report was accepted as presented.

 

4.         CHAIRMAN’S REPORT:  Henry reported that as of this date 25 people have signed up for the Festival.  This number seems small, but last year at this time only 21 had registered.  The Festival discount for Federation members will expire on December 31st.  Dancers for whom Federation dues has not been paid are not eligible for the Festival discount.

 

5.         CORRESPONDENCE:   None.

           

6.         OLD BUSINESS:

            a. Contracts:  Signed contracts have been received from all callers and cuers except for Dan Preedy.  Last year his was the last one to be received and Henry will check with him.

            b.  Website: Requests have been received to place links on our website.  Following discussion, it was moved, seconded and unanimously agreed not to accept any groups other than USA West, National Convention, and Do-Sa-Do on our website to prevent “cluttering” it.

           

7.         NEW BUSINEESS

a.  2008 Festival:  

 (1) Festival Job Descriptions:  It was agreed to prepare a list of job descriptions with the names of those willing to fill them prior to the next meeting so that they can be reviewed and discussed at that time

 (2) Decorations:  Decorations for the 2008 Festival will not be as elaborate as in previous years because the Parks department has told us we cannot bring water for bouquets into the halls.  It was suggested that floral sponges be purchased from a floral supply store and be used for the large displays.  Ann Todd decorates on Wednesday night for the Square Wheelers and should be told about the new restriction.  Last year the ballroom dancers objected to our using their time to decorate and we need to consider paying for an extra hour so that we can have exclusive use of the hall for that purpose

 (3) Hospitality Room:  Refreshments for the callers was discussed.  Last year most callers did not eat the refreshments provided and we are not supposed to have food inside the ballroom.  It was suggested that nothing perishable but only light refreshments such as mints and fruit be provided along with coffee and juice and water.

             (4) Suggestion from caller Dan Preedy:  Dan suggested that it would be more festive if, rather than having separate Plus and Mainstream halls on Saturday night, the ballroom be left open following the Grand March and everyone dance together with duets and alternate calling.  He also complained that scheduling round and square dance instruction at the same time resulted in low attendance at his workshops.  It was also noted that complaints were received from dancers who had to choose between square dance and round dance workshops when they wanted to attend both. It was agreed to shelve this problem and try to find a solution at the next meeting

 

8.         CLUB REPORTS AND ACTIVITIES

                        a.  Square Wheelers and Hayseeds: Nothing new to report.

                        b.  Pali Twirlers: Nothing new to report.

                        c.  Paradise Shufflers: A new class with 13-14 people has started.

 

9.         NEXT MEETING:  Willie will chair the next meeting to be held at the Hot Foot Stomp at KMC on October 20, 2007.

 

10.       ADJOURNMENT:  6:30 p.m.
