SEPTEMBER 28, 2003 FEDERATION MINUTES

The Federation Meeting was called to order on September 28, 2003, at 5:30 p.m. at the Ala Wai Clubhouse by David Lemon.

1.  Attendance:  Federation Chairman, Vice Chairman, Treasurer, Secretary; Henry Staehle, Festival Registrar, and Tim Voss, Hawaii representative for USA West. The following clubs were represented:  Pali Twirlers, Square Wheelers, and Tsunamis.

2.  Minutes:  The minutes of the meetings of July 10 and 19, 2003, were unanimously accepted as submitted.

3.  Treasurer's Report:  The opening balance as of February 1, 2003 was $872.07.  Income for the year was $9,178.96 and expenses were $3,143.70, leaving a balance on hand as of 9/28/03 of $6,907.33.  Assets at the same time last year (9/26/02) were $3,611.  This year's higher balance is primarily due to increased festival registrations and reduced advertising expenditures.

4.  Hawaii State Festival

    a.   Festival Registrar's Report:  Henry reported that 81 people have registered for the festival, 52 from the mainland and 22 from Hawaii. Seven are non-dancers but plan to attend the luau and cruise.  47 have registered for the luau and 27 for the cruise.  Confirmation letters will be prepared  in October for November mailing.

    b.  Chairman's Report:  Dave reported that he still does not know how many dancers the callers will be bringing, but will try to pin them down to an approximate figure.  He said that the Kuhio Village Resort Hotel has been dropped from the list of recommended hotels because they are not responding to his calls or dancer’s e-mails.  He requested input for program planning.

    c.  Community dance:  Dave said that another community dance similar to last year's is planned for the 2004 festival and asked for input.  Tim suggested having rounds and line dances in one hall and square dancing in the other.

5.  Report on USA West:  Tim distributed a USAWest Hawaii Treasurer's Report showing a balance of $2,426, and a budget for the 2006 USA West Square Dance Convention of Honolulu Hawaii, Inc. 

        He reported that the USA West convention held in August was successful with 936 attendees, five from Hawaii. Hawaii's table was well located with excellent visibility for publicizing both the 2004 Hawaii Festival and the 2006 USA West Convention.  The Policy Board authorized funds for two years of' advertising including, 18 ads in ASD and two National Directory ads. He said that most of the committee chairs are in place. 72 dancers have already registered for the 2006 convention.  Registration will be $35 until March 2005 and after that it will be $40.00.  Tim agreed to furnish Dave with detailed information on how the profits will be handled.

        Dave notified Tim that Frank Haas of the Hawaii Tourism Authority has been  approving  grants to advertise tourism in Hawaii and suggested  he  contact the HTA as we may be in a good position to receive a share of the $60 million earmarked for that purpose.

6.  New Business:  None.  Dave asked for agenda items for future meetings.

7.  Club Reports and Activities:

          a.  New classes:  Dave reported that 17 people have shown an interest in attending classes and three weeks of introductory free classes will be held on Wednesdays, beginning October 22 - Nov. 5th, 7:30 to 9:30 p.m. at the Ala Wai Community Center.

          b.  Pali Twirlers:  (a) The annual Fall Fling will be held on Sunday, October 26 from 7:00 - 9:15 at the Ala Wai Palladium .  (b) A Christmas Dinner and gift exchange is planned for Thursday, December 18th, at Pohai Nani.  All dancers are invited.  Please contact Roger at 254-1817. (c) The Pali Twirlers will be dark on Thanksgiving and Christmas days.

          c.  Square Wheelers:  (a) The Square Wheelers' annual Toys for Tots dance will be held Sunday, December 7th, at the Ala Wai Palladium from 7:00 - 9:30 p.m.  A new $5 or more toy (unwrapped) is required for admission.  (b) The Christmas champagne brunch will be held at the Hale Koa Hotel on Sunday, December 14th at 12:00 Noon. There will be an optional $10 gift exchange.  Cost is $22, tip included.  (c) The Square Wheelers will be dark Dec 14th  due to Palladium scheduling.

         d.  Hot Foot Stomp:  The Lava Klinkers' annual Hot Foot Stomp will be held October 24 -26 at KMC.  A Federation business meeting is scheduled for 4:00 p.m. on Saturday afternoon.

4.  Next Meeting:  A business meeting will be held on Saturday, October 25th at KMC during the Hot Foot Stomp.

5.  Adjournment:  The meeting was adjourned at 6:25 p.m.
