                          SEPTEMBER 17, 2006, MEETING MINUTES

The meeting was convened at 5:20 p.m., Sunday, September 17, 2006, at the Ala Wai Ballroom.

1.        ATTENDANCE:  Officers: Co-chairman Henry Staehle, Vice Chairman, Treasurer, and Secretary.  The following clubs were represented:  Pali Twirlers, Square Wheelers, Hayseeds and Paradise Shufflers.

2.        MINUTES:  The Co-Chairman asked for additions or corrections to the minutes of the June 15, 2006, meeting. There being none, the minutes were approved as presented.   

3.        TREASURER’S REPORT:  The Treasurer reported that as of August 31, 2006, the Federation’s net worth is $12,666.31. The balance on hand as of May 31, 2005, was $8,611.47.  The Treasurer’s Report was accepted as presented.

4.        CHAIRMAN’S REPORT:

a.  National Convention Report:  Henry reported that over 7,000 dancers attended the National Convention in June.  Hawaii Visitors and Convention Bureau material for our display table was shipped at their expense and the Federation furnished 1,000 promotional fliers and registration forms for the 2007 Festival in January.

b.  USA West Callers’ Trail-In Dance:  Henry reported that 64 dancers attended the Federation-sponsored trail-in dance held on the Tuesday prior to the USA-West Convention.  $5 per person was charged at the door. The profits ware divided equally between the Federation and the callers/cuers.

5.        COMMITTEE REPORTS:

a.  Registrar’s Report:  Henry reported that so far 19 registrations have been received, only five of which are local. Last year at this time there were 24 dancers registered, 13 of which were local.  He noted that registration forms are available at the weekly dances and urged the board members to sign up.  Registration for Federation members for the 3-day Festival is only $20 before January 1, and $30 thereafter.

6.         CORRESPONDENCE: 

a.  John Kephardt:  Henry read an e-mail from caller John Kephardt inquiring about the possibility of his rooming with someone while he is in Hawaii. It was suggested that, although Kim had not been participating since David left, she would probably be attending the Festival and might be willing to help out.  Jean and Roger who have a house in Kailua were also mentioned as possible hosts.

b.  Petticoat Junction:  Henry said he had received an e-mail from Mike Doane asking approval for Petticoat Junction in Oklahoma which sells square dance materials to add our Festival to their Coming Events distribution list.  Since there were no objections, Mike indicated that he would take care of the matter.

c.  Cindy Frye letter regarding caller Bill Yoeman:  Henry referred to a letter from Cindy Frye which documented various disagreements with Bill Yoeman, including Bill’s refusal to issue a Graduation Certificate to her friend, Dennis Cornell, for completing the course in 2004.  The letter was copied to Bill Yoeman; however, he has made no effort to explain the charges. After discussion it was agreed that, since only one side of the matter has been heard, Bill be contacted and asked for his comment, with the notation that in the best interests of square dancing people should be encouraged to be involved.

7.         OLD BUSINESS:

            a.  Web Page:  The Web Page and Code-A-Phone Hot Line have not been kept up-to-date recently and it was noted that Buster Forbes has had major health problems and may not be able to handle the responsibility at this time.  Mike Doane indicated that he maintains a web page of his own and feels capable of handling the job. It was agreed to contact Buster with the suggestion that Mike take over those responsibilities in his place.

            b.  Coming Events Calendar:  In Willie’s absence, Dan Seeman reported that she has been on the mainland on family business for the last month and would be returning the end of September and would issue a new calendar at that time. 

            c.  Federation Picnic:  Henry said that the Federation picnic usually held in August had been postponed because of the USA-West Convention activities, also held in August. Buster was asked to reserve a space at Bellows Field in September, but we have not heard from him. Since it is now so late in the year it was agreed to cancel the picnic for this year.

8.         NEW BUSINESS

a.  Appointment of Federation Secretary:  At The January 2006 meeting Federation Secretary Judy Bauckham announced that she would be moving to the mainland in September and Janet Granich agreed to assume the secretary’s position at that time.  It was moved, seconded and unanimously agreed to appoint Janet as the new Federation Secretary.

b.  Acceptance of Paradise Shufflers into the Federation:  Henry read a formal request from the Paradise Shufflers, to join the Hawaii Federation of Square Dance clubs. The club was officially formed on July 1, 2006 and meets on Saturday nights at the Manana Community Park in Pearl City.  A list of the 23 paid members was submitted. Officers of the club are as follows:

                        Vice President:  Greg Carnes
                        Secretary:  Lorena McGovern
                        Co-Treasurers:  Tim/Melissa Voss and Rita Melemai

President Michael Doane will act as the Federation representative for now. After discussion the Paradise Shufflers square dance club was unanimously accepted into the Hawaii Federation.  They will automatically be included under the Federation’s insurance plan and at this time will pay a token $1.00 membership fee.  However, on February 1st the regular yearly membership fee of $10 per member will take effect.  (Note: check by-laws to see if charge is $10 per person per club or $10 per primary club.)

c.  Festival Program:  A draft of the program needs to be worked on as soon as possible.  Times need to be assigned for caller and cuer workshops for the best possible attendance, using last year’s program as a guide. Barbara asked that a list of 260 round dances we know be sent to Larry Sperry and Bill Maisch.

d.  Reservation of Ballroom for Festival:  It was noted that a meeting was recently held for users of the ballroom to introduce a new Kapiolani Park Manager and acquaint them with new policies for ballroom.use.  However the square dance group was not notified. An e-mail sent by David Lemon to the Parks and Recreation Department in May 2006 cited a similar problem. Concern was expressed that a permit has not yet been issued for the January 2007 Festival.  Dan Seeman reported that he had spoken to Tara, Manager of the Ballroom, about the Sunday night dances and he was assured the Square Wheelers would retain their Sunday night spot. After discussion it was agreed that a letter should be sent to Tara asking why the Federation was not included in the meeting and asking when a permit for the Festival might be available.

9.         CLUB REPORTS AND ACTIVITIES

            a.  Square Wheelers:  Nothing to report.

            b.  Pali Twirlers:  The Pali Twirlers will be holding a Fall Fling dance on Sunday, November12th at the Ala Wai Ballroom with rounds at 6:30 and square dancing from 7:00 - 915 p.m. This dance will replace the Halloween dances held in the past.

            b.  Paradise Shufflers:  The Paradise Shufflers will resume classes starting October 7 to introduce more people to square dancing. Classes will be held each Saturday from 6:30 to 7:30 with dancing from 7:30 to 9:30 p.m. at the Manana Community Park.  Dress is informal.

 10.         NEXT MEETING:  The next meeting will be held at the call of the Co-Chairmen.

 11.         ADJOURNMENT:  The meeting adjourned at 6:05 p.m.
